We are seeking a project-focused Project Administrative Assistant to join our Vancouver team. This role supports a dedicated program delivering services to a multiple single clients, BC Hydro. The position combines administrative support, project coordination, and process improvement responsibilities. The successful candidate will assist project discipline managers and program leaders with day-to-day coordination, document preparation, meeting administration, onboarding activities, and continuous improvement initiatives that support efficient project delivery. 

We offer a flexible hybrid work model, enabling you to work from home AND our Vancouver office. 

Primary responsibilities   

  • Assist with onboarding and offboarding processes for project-based resources, including coordination of forms, system access, equipment requests, and orientation materials
  • Coordinate and help resolve system access-related issues for resources 
  • Participate in internal, project, and client meetings by preparing agendas, taking minutes, tracking action items, and following up on outstanding items
  • Prepare, format, proofread, and maintain documents, including reports, correspondence, proposals, tender submissions, presentations, and meeting materials
  • Support proposal and pursuit activities by initiating proposal processes, coordinating inputs, maintaining status trackers, and ensuring documents are properly formatted and organized
  • Conduct quality checks on documents before issue to confirm formatting, completeness, consistency, and alignment with templates or client requirements
  • Maintain project logs and trackers such as action items, deliverables, decisions, risks, change items, onboarding status, and access requests
  • Maintain project filing systems and support document control activities, including version control, file organization, metadata accuracy, and records retention in accordance with internal and client requirements
  • Contribute to continuous improvement by helping standardize templates, procedures, trackers, and administrative processes, and by supporting quality checks on project documentation

Qualifications

  • A diploma or degree in Business Administration, Project Management, or a related field
  • Minimum five (5) years of experience in administrative support, project coordination, or a related role including experience in the construction, engineering, or project management industry
  • Experience directly working with BC Hydro PPM SharePoint systems would be an asset
  • Experience using AI productivity tools (e.g., Microsoft Copilot or similar) to support administrative tasks and identify opportunities for process improvement 
  • Experience with document control principles such as version control, naming conventions, metadata management, and records retrieval
  • Excellent practical knowledge of Word (advanced functions)   
  • Good practical knowledge of Outlook, PowerPoint, Visio, Excel, SharePoint platform and Teams   
  • Highly organized and self-driven, with a versatile skill set and strong interpersonal abilities. Known for a courteous approach and a talent for delivering high-quality work quickly and efficiently.
