Job Description
The Receptionist is key to demonstrating a positive and professional image for our firm! Whether greeting clients or communicating over the phone, we are seeking someone in this role with an enthusiastic personality and strong attention to detail. In this role, you will perform a variety of administrative and clerical tasks to ensure the rest of the staff has adequate support to work efficiently.
- Serving as the first point of contact and the “voice” of the company.
- Graciously greet and direct visitors to correct team member.
- Ensure all calls are answered professionally and promptly, routed to proper individuals, and messages are taken as needed.
- Ensure overall appearance of reception lobby, conference rooms, and common areas; including restocking supplies.
- Assist and monitor building facilities/maintenance to ensure a professional appearance at all times. Maintain the office condition and arrange necessary repairs.
- Perform all opening and closing procedures daily.
- Sort and distribute incoming mail. Organize outgoing mail with different channels.
- Prepare and coordinate outgoing shipping with UPS, FED EX, USPS.
- Negotiates the purchase of office supplies, equipment, etc.
- Set up in-house meetings with necessary equipment, materials, beverages, and lunch as needed.
- Assist the Human Resources Director with the recruiting process to include; posting positions on various websites, coordinate and schedule phone, and in-person interviews, and maintain associated spreadsheets and reports.
- Assist in the onboarding and orientation of new employees by working together with the Human Resources Director and the Manager in creating their onboarding schedule and coordinating their first-day lunch.
- Assist with maintaining equipment to provide a seamless and efficient flow of internal operations including but not limited to: copy machines, phone systems, and appliances.
Qualifications
- Bachelor’s or Associate Degree in Business Administration or relevant experience
- 2+ years Reception or Administrative Assistant experience
- Highly Developed MS Office Skills
- Exceptional organizational and communications skills
- Ability to prioritize and respond quickly
- Strong interpersonal skills
- Excellent communication skills
