We are seeking an Assembly Readiness Coordinator to optimize workflow and prevent delays in our
assembly department. This role focuses on proactively identifying material shortages, tracking real-time
progress across departments (profiling, boiler-making, machining, welding, finishing), and ensuring timely
delivery of parts/materials to assembly. By leveraging our online tracking system (Jira), you will act as the
"eyes" of production, flagging unrealistic deadlines, prioritizing critical items, and collaborating with
teams to expedite deliveries and complete shipment documentation. This position is critical to
streamlining operations, reducing assembly downtime, and ensuring seamless project execution.

Job Description

Material Readiness & Expediting:

  • Use the online system to generate and print Bills of Materials (BOM) for items due within
  • 1-2 weeks, highlighting outstanding parts (e.g., bought-out items, raw materials,
  • machining/finishing components).
  • Issue prioritized BOM lists to assigned personnel (e.g., assembly BOM kitter) to chase and
  • expedite delayed items, ensuring alignment with assembly deadlines.
  • Track progress of expedited items daily and escalate unresolved delays to department
  • heads.

Real-Time Monitoring & Reporting:

  • Monitor real-time updates across departments to identify bottlenecks (e.g., delayed
  • machining parts, overdue bought-out items).
  • Provide daily updates to departmental heads on critical shortages and corrective
  • actions.
  • Present weekly assembly readiness reports at production meetings, including risks,
  • mitigation plans, and status of expedited items.

Shipment Documentation Support:

  • Collaborate with project managers to prepare and verify shipment documentation (e.g., delivery notes, packing lists), ensuring accuracy based on the latest production updates.

Deadline Accountability:

  • Scrutinize deadlines set by project/production engineers for feasibility; challenge
  • unrealistic timelines and propose data-driven adjustments.
  • Work with procurement and department leaders to re-prioritize tasks impacting
  • assembly timelines.

Process Improvement:

  • Develop strategies to reduce assembly search time (e.g., pre-staging parts, improving
  • material labelling).
  • Recommend enhancements to the online tracking system for better visibility of material
  • readiness.

Qualifications

  • Degree with 2+ years of experience years in production planning, project
  • coordination, or manufacturing operations.
  • Proven experience in technical documentation, preferably in a manufacturing or engineering
  • environment.

Key skills required:

  • Strong writing and editing skills, with the ability to convey complex information in a clear and
  • concise manner.
  • Familiarity with documentation tools and software, such as Microsoft Word, PowerPoint, Adobe
  • Acrobat, and SolidWorks software.

  • simultaneously.
