CASES, a non-profit organization that aims to increase public safety through innovative services that reduce crime and incarceration, improve behavioral health, promote recovery and rehabilitation, and create opportunities for success in the community, seeks an Assistant Controller to oversee the day-to-day supervision of the fiscal office team. We are looking for a team player who will ensure procedures and policies are maintained, with a strong attention to detail and work ethic.

This position requires proof of full vaccination within 30 days of hire.

We believe that in-person operations are the best way to serve our clients, both directly and through essential operational support. ​This job requires work in our offices and/or the community.

Job Description

Specific responsibilities include:

  • Supervising staff accountants, delegating appropriate work, providing on-going guidance and feedback.
  • Monthly analysis and reconciliation of the trial balance/general ledger accounts. Research any significant variances and take follow up action as needed.
  • Coordinate and manage accounts payable and receivable; ensuring subledgers are reconciled each month.
  • Responsible for coordinating and ensuring a timely monthly close.
  • Prepare monthly agency-wide allocations such as fringe benefits, occupancy and information services.
  • Work with the payroll manager to review bi-weekly payroll and labor distribution, ensuring accuracy and timely up-load of the payroll file to the general ledger.
  • Responsible for the timely bi-weekly upload of pension contribution and loan files.
  • Assist the Controller in preparing for audits, coordinating, and/or preparing/reviewing workpapers.
  • Responsible for reviewing quarterly payroll tax reconciliations (941 and NYS 45).
  • Assist with the preparation of tax filings including the 990, IRS 1099 and annual agency filings such as the NYS Consolidated Report (CFR).
  • Assist the Controller in monitoring ensuring adherence to internal controls.
  • Coordinate internal audits of petty cash accounts, monitor and follow-up on issues and any corrective action plans.
  • Work with grants accountants and other staff to ensure timely follow-up on outstanding receivables both grantor agency and client or staff payments.
  • Special projects as assigned.

Qualifications

  • Bachelor’s degree in accounting, Master’s degree preferred.
  • A minimum of 5 year’s work experience, preferably in a not-for-profit environment. A minimum of 2 year’s supervisory experience required.
  • Strong analytical and problem-solving skills, a must.
  • Attention to detail and highly organized.
  • Self-directed with an ability to manage multiple projects and deadlines.
  • Knowledge of GAAP, not-for-profit accounting, and experience with City, State and Federal contracting regulations a plus.
  • Strong communication skills.
  • Experience with fund accounting systems, Blackbaud’s Financial Edge a plus, and Advanced Microsoft Excel skills required.
