CASES seeks a Data Entry Specialist to provide administrative support for Court Pretrial Services by entering data into relevant databases and maintaining data management systems. This position contributes to the development, analysis, and reporting of aggregate outcomes in CASES Pretrial Services Department. The Program Assistant will accurately enter legal information including NYSIDs, case outcome information, and other data entry at each stage of the legal case. Additional responsibilities include providing technical assistance or appropriate referrals as needed.

Job Description

  • Reconciles database and data management systems
  •  Develops workflow to organize, secure and file data received
  •  Maintains record of services and data entry
  •  Reviews data for completeness and accuracy prior to entering same to reporting systems
  •  Enters data, analyzes and compares data between multiple systems
  •  Ensures the accessibility of information by program staff by developing and maintain a filing system for all administrative and case records
  •  Attends weekly staff meetings
  • Maintains program in contractual compliance through documenting and completing required reports as required by funder
  • Completes compliance and court progress reports timely for the court
  • Creates and maintains relationships with court stakeholders
  •  Follows agency policies and procedures (For example; arrive to work on time, maintain consistent attendance and # of hours required for either full-time or part-time work week)
  •  Attend and participate in weekly supervision, program meetings, and agency and/or funder trainings
  •  Participates in peer review and quality assurance activities with the intent to improve data management
  •  Participates in trainings/workshops to enhance professional and technical knowledge
  •  Perform other responsibilities and duties as assigned by Director, Team Leader or Assistant Team Leaders
  • Maintain flexibility with shift hours and schedule to ensure all work is completed before timely

Qualifications

  • Associates degree required or equivalent experience; Bachelor’s preferred
  • 2 years of data entry and data management experience, including running reports, experience within a community-based organization as support staff, evaluator or direct service provider. Database development, management and analysis skill preferred
  •  Knowledge and proficiency of MS Word, Excel, PowerPoint, Outlook, and possess a willingness to learn new programs as needed;
  • Excellent communication and interpersonal skills, strong analytic and problem-solving skills
  • Ability to operate with purpose, urgency, and accuracy in a fast-paced deadline-driven environment;
  • Must maintain confidentiality and have the ability to exercise a high level of judgment/discretion;
  • Ability to create and maintain well-organized administrative and operational systems;
  • Interest in working with people with treatment and social service needs involved in the justice system;
  •  Spanish speaking a plus.
