CARE International Indonesia is now looking for

Administration Assistant-Sulawesi Earthquake Response (Jakarta Based)

The Administration Assistant will mostly assist technical clerical support and administration services related to the operational activities such as, arranging and potentially coordinating with local government, supporting project; and help procurement in preparing meetings, workshops and trainings, when required. Other than that, Administration Assistant will provide day to day administration support for Support team implementation, including filing and correspondence, translation, arranging logistics, other paper-based related works with GOI relations, procurement, personnel administration, other relevant tasks may be assigned.

 

A.       Administration support for Support team implementation. (75% time spent)

·       Arranging and potentially coordinating with local government and other external and internal team;

·       Following the financial administration required to support team is meet the CARE International standard system; preparing meetings, workshops and trainings, when required;

·       Coordinate with HR, Finance, Procurement, IT and Finance team to make sure smooth process to support the program; and

·       Assist in completing administrative requirements of documents for agreement, partnership, personnel and other related

B.       Database management. (23% time spent)

·       Filing;

·       Maintain regular database from the Support team implementation;

·       Compile data or information from the sources and submit to relevant parties as requester with non-confidential clause.

C.       Others (2% of time spent)

·     Involved in CARE Research when necessary. Conduct any other duties that may reasonably be assigned in line with the position;

·     Willing to join with the Emergency Response Team (ERT) in accordance with experience and competence and is ready to be assigned to the disaster site in accordance with the existing needs;

·     Other duties that may reasonably be assigned inline with the position.

Qualifications

Required

Experience: At least 3 (three) years working in non-governmental organization and/or consulting company

Specific technical skills:

·       Demonstrate high quality in administration and data management skills, including maintaining log book, database base and asset management.

·       Good communications skills, including negotiation skills particularly with supervisor and field team.

·       Demonstrate high quality in interpersonal skills, including patience, diplomacy, willingness to listen and respect for beneficiaries.

·       Able to give helpful directions, detailed instructions and demonstrations.

·       Demonstrate ability to independently work as well as to contribute in a cross cultural environment.

·       Experience in building partnership with government and other civil society organizations.

·       Competent in Windows, MS Office programs, email and database experience.

·       Fluent in English (spoken and written) is preferable.

 

Desired

·       Honest, responsible, self-motivated, ability to work in tight schedule and able to take initiative under minimum supervision.

 

Education & Training

Required

·        Education: University degree in business administration, communication, marketing or social studies or relevant background.
