Job Description

BryceTech is seeking an Administrative Support Specialist IV to provide high‑level administrative, travel, and office management support to senior leadership within the CPE CBRND ET organization. This role is responsible for coordinating critical office operations, managing travel and staffing systems, and ensuring efficient communication and workflow across the program.

  • Serve as the co‑lead Defense Travel Administrator (DTA) for DTS.
  • Complete all travel activities for ET senior leadership and AJPEO MRAS, including creating orders and vouchers and processing passports.
  • Manage the ET Document Staffing System (DSS), reviewing documents in staffing, coordinating with action agents, ensuring comments are routed appropriately, uploading updates, and monitoring the system to resolve issues and meet suspense deadlines.
  • Manage the inventory of office supplies for ET.
  • Assist in reviewing documents, reports, and presentations.
  • Successfully complete all position‑related training.
  • Work directly with senior‑level CBRNE or acquisition leadership.
  • Apply strong editorial skills, including proper grammar, spelling, style, and structure.
  • Maintain comprehensive knowledge of travel regulations and DTS.
  • Use the Microsoft Office suite effectively, including Outlook, PowerPoint, Excel, and Word.
  • Maintain a valid state driver’s license.
  • Implement standard administrative practices that ensure quality and efficiency in alignment with organizational and DoD business priorities.
  • Manage day‑to‑day office operations, including:
    • Answering phone calls and relaying messages when leadership is unavailable.
    • Greeting and escorting visitors.
    • Ensuring effective communication across all program areas.
    • Following DoD, Army, and organizational templates and best practices.
    • Managing and creating documents, briefs, and reports.
    • Coordinating logistics and facility support for conference rooms.
    • Operating video teleconference and audio‑visual equipment.
  • Maintain leadership calendars, track daily and leave schedules, prepare packages, read‑aheads, slides, and agendas, and notify leadership of upcoming events.
  • Draft, review, staff, format, file, and update memorandums, correspondence, briefings, information papers, issue papers, and meeting minutes.
  • Provide support at conferences, off‑site meetings, and special events.
  • Manage and facilitate staff meetings, including room reservations, gathering slide inputs, setting up conference spaces, ensuring connectivity, and drafting meeting minutes.
  • Attend and support classified and unclassified senior‑level visits and home‑office hosted meetings. Responsibilities include:
    • Reserving meeting spaces and teleconference/VTC/web‑conference lines.
    • Preparing agendas and sending meeting notifications.
    • Providing read‑ahead materials at least 24 hours before meetings.
    • Setting up meeting spaces and verifying connectivity.
    • Participating in or supporting meeting execution.
    • Drafting meeting minutes in accordance with classified/unclassified procedures.
  • Serve as the organizational expert on DTS, coordinating travel requests and completing all CONUS and OCONUS travel arrangements, including orders, vouchers, accommodations, and transportation.
  • Maintain an internal personnel database for the office.
  • Manage office supply activities, including tracking inventory, consolidating and coordinating orders, working with financial personnel and Government card holders, and keeping supply areas organized.
  • Review and maintain electronic and paper files.
  • Support assignment, tracking, and completion of office taskers in the SASI system, coordinating with team members and ensuring timely submission and upload of responses.
  • Monitor staffing packages in DSS, submit draft and final documentation for JPEO‑CBRND approval, and provide input as required.
  • Maintain hard‑copy records according to the JPM Office system and manage electronic records via the organizational SharePoint site; serve as the SharePoint Knowledge Manager.
  • Ensure appropriate security measures are in place for classified meetings.
  • Follow all security processes, conduct daily physical security checks on a rotating basis, and coordinate Foreign National visit documentation with the security office.
  • Serve as the primary coordinator for purchase requisitions, completing required documentation, performing GFPBS actions, securing signatures, and maintaining organized Government Purchase Card (GPC) files.
  • Actively update recall lists.
  • Conduct accountability surveys during fire drills and emergency evacuation events.

Qualifications

  • Minimum 5 years of experience working directly with senior‑level staff.
  • Minimum 5 years of experience using the Microsoft Office suite.
  • Minimum 5 years of experience working in the Defense Travel System (DTS).
  • Secret Clearance
