Job Description
This is a Full-Time position. 8:00 am. - 4:30 pm.
Week 1 : Sat, Sun, Tues. - Fri.
Week 2 : Mon - Thurs.
The HIM Specialist performs various clerical tasks and related services essential under the supervision of the HIM Manager, to support the daily operations of a given unit.
Essential Duties
Organizes and coordinates various activities on the designated inpatient nursing units, in cooperation with the licensed nurse in charge of the unit
Reviews medical records for accuracy by checking orders written by the physician/nurse practitioner and flagging for provider’s signature
Completes lab requisition by adding patient’s demographic, insurance information, diagnosis according to progress note, ICD-10 code and type of lab requested by provider
Assists in maintaining and circulating the daily inpatient census by collecting information with nurse supervisor and outpatient nurse coordinator
Photographs new residents and updates information in the Disaster Medication books
Updates 24-hour report book and lab book monthly
Responsible for assisting and providing clerical support in completing studies as needed
Processes requisitions for diagnostic tests, i.e. radiology, lab work, etc.
Maintains inventory of clerical and paper supplies on unit
Maintains proper order of the nurses’ station
Answers telephones in a timely, professional, and courteous manner
Assists with thinning of medical records under direction of the HIM Manager
Maintains medical records and keeps chart material up to date under the direction of the HIM Manager and Director of Nursing in both paper and electronic records
Responsible for breaking down medical records for discharged residents
Circulates mail, provides clerical support for the Director of Nursing, and/or Supervisor(s)
Coordinates inpatient transportation needs with the Transportation Department
Schedules appointments for the inpatient residents with Healthcare ancillary services, such as podiatrist, dentist, and ophthalmologist
Responds to resident/family requests for services in a courteous and timely manner
Handles confidential information according to HIPAA regulations
Attends 100% of all mandatory meetings and education programs
Scan documents and updates demographic information for IL, AL, and SNF into EHR (Epic and AOD)
Assists the Outpatient Department by scheduling appointments in Epic for IL, AL and SNF patient’s
Answers radio for SARA system alarm by calling patient to check if resident is safe letting nurse supervisor know when there is an emergency
Assists nursing staff to find appropriate ICD-10 code for patient’s diagnosis
Responds to ROI requests from extenal facilities by releasing only necessary medical records information such as progress notes, labs, diagnostic imaging (X-ray, Dexa Scan, Ultrasound) MOLST, face sheet and medication list.
Gather patient’s necessary information when 911 is called (Molst form, face sheet, progress notes, labs, medication list and patient’s problem list)
Order medical supplies for Taylor Hall (AL) and Hallowell (SNF), and stocks supply room
Order Office supplies as needed
Assists in training new HIM Specialists and manages HIM interns activities
In case an HIM employee is absent, HIM team will rotate to cover necessary department (outpatient department, Hallowell or Assisted Living)
Accountable for promoting internal customer service.
Abide by the organization’s code of conduct in the performance of their duties
Perform other related duties as required
Qualifications
High school diploma or equivalent
At least two (2) year experience as unit clerk in health care setting
Medical Records and/or Long Term Care experience preferred.
Proficient in the use of copy machine, fax machine, and computer
Proficient in typing experience with Microsoft office
General knowledge of office practices and procedures
General knowledge of medical terminology
Possess the ability to communicate and deal tactfully with personnel
CPR and First Aid required.
Communication
Must be able to read, write and speak the English language in an understandable manner
