Job Description

We are currently looking for a Field Administrative Assistant, Fleet Operations to join our growing Administrative Services team! In this role, you will report directly to the Manager, Fleet Operations.

As Field Administrative Assistant, Fleet Operations, your responsibilities will include:

  • Interface with peers, users and vendors to maintain vehicle and driver information
  • Responsible for the registration and titles for Fleet vehicles, equipment & tools.
  • Interface with other departments to insure data is processed and coded properly.
  • Monitor daily/weekly/monthly reports & system information to correct and prevent system errors and inaccuracies
  • Establish and maintain key performance indicators and metrics for department and management review
  • Assist with shuttling company vehicles and company related errands
  • Acts as a backup to receive and process calls from peers, internal users and vendors
  • Coordination of services with vendors and end users
  • Serve as point of contact for customers, suppliers, contractors and vendors
  • Coordinate vehicle accident claims processing
  • Interface with local, State and Federal agencies to ensure compliance with licensing and emission laws
  • General administrative duties
  • Place new vehicles into service and coordinating actions related to the retirement of old vehicles
  • Maintenance of vehicle historical records
  • Identify, Analyze and Interpret trends
  • Some travel
  • Other duties as assigned

Qualifications

WHAT IT TAKES TO CATCH OUR EYE:

  • Associates Degree or Higher in Business, CIS, Finance, or Accounting or 5+ years of relevant work experience
  • Valid Driver’s License
  • Strong customer service skills
  • Excellent verbal and written communication skills
  • Ability to work under pressure and changing environments
  • Experience with Excel, Word, PowerPoint and Outlook
  • Other database and systems experience
  • Strong decision-making ability
  • Strong organizational skills
  • Strong attention to detail & accuracy
  • Ability to meet deadlines
  • Ability to work independently or as a team member
  • Ability to multi-task
  • Knowledge of basic accounting practices

BONUS POINTS FOR:

  • Extensive Excel & Word experience
  • 2+ years experience with a Fleet Department
  • Previous experience with Local, State and Federal agencies
  • SAP Experience
  • Familiarity with the telecom industry
  • Comprehensive knowledge of company operations, policies, and procedures
