Job Description

The main purpose of this role is to provide support to the advisor, planner, and the firm’s client base. This is accomplished through handling administrative office functions, delivering excellent client service, assisting with financial data management, and taking an active part in developing the role. The person in this position must be friendly and genuinely interested in the business, agenda, and needs of others, including the company, its management, the team, and especially the company's customers. Detail work is a major focus of the job, and those details need to be handled quickly, correctly, and efficiently. The ideal candidate will be able to thrive in a small company environment, with a desire to enhance responsibilities and advance their role as the company grows.

The focus of this position is working with and through others, building and maintaining relationships, and working closely and accurately within established guidelines.

Responsibilities

· Provide professional support to clients and advisors as needed

· Field client phone calls, take messages, and provide resolution

· Manage client correspondence and process daily mail

· Support the financial planning process during the data collection and data entry phases

· Handle implementation of new accounts, transfer sequences, and check processing

· The job involves managing work with and through others, following up carefully, closely, and cheerfully is required to ensure both correct work and maintenance of the relationships.

· Assist in the billing and reporting of client accounts

· Provide inside sales and relationship management support for the advisor

· Facilitate in meeting preparation and welcoming clients to the office

· Maintain office calendar, scheduling, and internal communications

· Communicate with vendors in resolving issues

Qualifications

  • The person in this position must be friendly and genuinely interested in the needs of others, including the company, the team, and especially the company's customers.
  • Must be smart and motivated!
  • Proficiency in Microsoft Office, preferably with Excel experience.
  • Socially-focused with a "how can I help you?" attitude.
  • Adherence to established guidelines and procedures.
  • It is important to involve others in the decision-making; there is a need to build consensus rather than make decisions alone.
  • Team environment: leader must be willing to jump in and roll up his/her sleeves to help out when necessary.
  • Strong, friendly follow-up necessary on tasks delegated to ensure proper results.
  • Familiarity with CRM systems, Junxure a plus.
  • Knowledge of financial planning software is a plus, specifically eMoney.
  • Proven record of providing exceptional client service.
  • Ability to work both independently and in a team-oriented environment.
  • Organization skills, attention to detail, and the ability to multi-task are all a must.
  • Good written and verbal communication skills.
