Job Description

We are looking for a self directed indvidual who will assist our accounting manager.  The majority of the responsibilities will include  fulfilling orders, assisting outside sales reps and updating customer database for our VAR (value added reseller) PTC group.  The remaining time will be spent managing the front office and accounting duties.  Front office responsibilities include answering incoming calls and greeting guests, perform general administrative duties, order office and kitchen supplies.  Accounting duties include: perform accounts payable and accounts receivables, verification of payables, collection calls, maintenance of weekly time tracking, mailings for potential business and follow-up.  Additionally, this person will be required to maintain the accounting files and filing.

VAR Group Administrative Assisant::

  • Process all incoming orders
  • Outbound Sales Calls 
  • Updating Customer database

Front Office Responsibilities:

  • Answer incoming calls and greet guests.
  • Order all office and kitchen supplies. 
  • Liaison with building management. 
  • Assisting in organizing breakfast or lunch meetings. When necessary, help in clean up of meetings.
  • Send out all overnight letters and packages.  Sort/distribute all incoming mail and packages. 
  • Make travel arrangements, when needed.
  • Light to moderate administrative duties, i.e. photocopying, faxing, etc.
  • Manages incoming email, prints invoices and responds appropriately

Accounts Payable and Receivable:

  • Enter accounts payable and receivables.
  • Preparing Deposits.
  • Prepares invoices for the clients.
  • Process employee expense reports weekly.
  • Collection Calls.
  • Filing

Qualifications

  • Bachelor’s Degree
  • Proven proficiency with PC based software, including MS Office and some form of accounting software (Peachtree, Quicken, Quickbooks, Deltek, etc.)
  • Work with minimal information/direction at times
  • Maintain confidentiality of sensitive information
  • Willingness to be hands-on and participate in organization-wide activities
  • Able to prioritize multiple competing tasks and seek supervisory or administrative assistance when appropriate
  • This is a part time position - 20 to 25 hours per week.   Ideally five mornings or afternoons a week.
