Job Description
As a Benefits Specialist on the HR Services Team for North America, you will support benefits-related integration activities for a newly acquired business unit. In this role, you will work closely with internal Benefits/HR Process Owners (COE), HR colleagues, vendors, and system teams to help execute benefits vendor and system setup activities leading up to go-live, and then transition into ongoing, day-to-day benefits administration post–go-live.
You will contribute to the success of our team by:
Pre–go-live (integration / implementation support)
- Executing benefits vendor and system setup tasks from an administration perspective (e.g., confirming eligibility rules are built as designed, supporting plan setup validation, and coordinating file/interface needs with the appropriate partners).
- Coordinating benefits-related data needs, including gathering inputs, validating data, reconciling discrepancies, and following up with internal partners and vendors to resolve issues.
- Supporting testing activities by executing assigned test steps, documenting results, and helping ensure items are resolved prior to go-live (e.g., UAT support, parallel runs as applicable).
- Tracking benefits-related defects, questions, and open items; routing/escalating as appropriate and following through to closure with stakeholders.
- Supporting associate-facing communications logistics and job aids related to benefits changes and enrollment timing, in alignment with established messaging and compliance guidance.
Post–go-live (steady-state benefits administration)
- Providing day-to-day administration support for North America Benefits Programs, including Health & Welfare, Leave of Absences, 401(k), retirement, and pension programs, as applicable, following established policies, procedures, and service levels.
- Supporting end-to-end Open Enrollment execution activities, including preparation, testing/validation support, associate communications support, and issue resolution through enrollment close.
- Responding to associate and stakeholder inquiries via the HR Service delivery model; researching cases, explaining plan provisions and processes, and coordinating with vendors to resolve issues within expected timelines.
- Managing and resolving escalated Leave of Absence and Health & Welfare cases, ensuring accurate documentation, appropriate handoffs/escalations, and timely follow-up.
- Performing routine audits and ongoing monitoring for benefits administration activities (e.g., eligibility, enrollments, billing/arrears, and leave status) and coordinating corrections with vendors and internal partners.
- Identifying recurring issues and opportunities to improve standard work/documentation and partnering with Process Owners/COE to update guidance and prevent rework.
Qualifications
Required Skills (Qualifications):
- Bachelor’s Degree required
- 3+ years of HR experience, including benefits and/or HR operations experience
- Experience supporting benefits administration processes (Health & Welfare and/or Leave of Absence administration and/or 401(k) administration) and partnering with vendors
- Strong written and verbal communication skills with a customer-service mindset
- Demonstrated attention to detail and ability to manage confidential information
- Proficiency with MS Office (Excel, Word, Outlook), Workday and comfort working across multiple HR systems / case management tools
Preferred Skills:
- Experience supporting acquisitions, integrations, or HR/benefits implementations (e.g., vendor setup, requirements gathering, testing/UAT, data reconciliation, and go-live readiness activities)
- Bachelor’s Degree in Business Administration, Finance, Human Resources, or related field
- Demonstrated data reporting, analysis, and data consolidation skills
- Knowledge of compliance regulations and policies such as ERISA, FMLA, STD, LTD, COBRA, Section 125, and ACA requirements
- Ability to identify process improvement opportunities and contribute to documentation/standard work and automation efforts
