Job Description

The Lead Executive Assistant will be a thought-partner to our Members of the Board of Management (CEO, CFO, CTO). This person will provide executive support for our CEO, CFO, and CTO by managing day to day coordination of schedules, meetings, and visits from external partners. Principal Responsibilities:

  • Serve as a conduit between the Board of Management of Bosch Rexroth North America (CEO, CFO, CTO) as well as internal and external stakeholders by managing relationships and communication.
  • Proactively maintain calendars and daily schedules for the board, fielding and prioritizing requests that require attention to strategically leverage the board members’ time.
  • Handle communications for the board and connect with both internal and external parties with a high level of integrity and tact.
  • Provide full administrative support including and not limited to schedule management, travel arrangements, expense/invoice management, communication support, filter and prioritize emails based on relevance,
  • Legal and people document execution and administration, department operations and all logistics related to internal and external event/meeting planning for the board.
  • Develop presentations, templates, graphics, and spreadsheets at the highest level; proofread, and edit presentations as needed.
  • Manage logistics around Technology and setup of videos for team meetings and partner with Technology and other team members on larger company meetings
  • Handle regular activities without prompting and advise in advance of issues or delays.
  • Build strong relationships at all levels of the organization and manage a variety of special projects when asked.

Qualifications

  • Bachelor's degree from an accredited university
  • Minimum of 10 years Executive Assistant, Legal Secretary or Legal Administrator/Assistant experience, or an equivalent combination of experience and training that provides the required knowledge, skills and abilities.
  • Excellent listening and communication skills, both written and verbal.
  • Strong attention to detail and follow-up, ensuring nothing slips through the cracks.
  • High emotional intelligence and relationship-building skills at all levels of the organization.
  • Demonstrated ability to take initiative, anticipate needs and exercise independent/sound judgment.
  • Exceptional knowledge of Microsoft Office Suite, Share Point, One Drive, etc.
  • Strong PowerPoint skills and be able to independently create high-quality presentations that include charts, graphs, other visuals, etc.
  • Growth mindset, intellectual curiosity and enthusiasm for learning new tools and problem-solving.
  • Excited by moving fast, investing deeply in relationships, and working through ambiguity within a dynamic environment.
