Job Description
The Manager of Medical Operations – External Stakeholder Engagements ensures that any assigned Medical meetings engaging HCPs will run effectively, on time, complying with all SOPs as needed. They will work with Medical Directors, Legal, Compliance, Finance, External Vendors, Corporate Congress and IT colleagues to ensure on-time and compliant execution of assigned ESE events.
Accountabilities:
Meeting Planning & Oversight
• Through continuous conversation with KME Engagement, Medical Operations Business Partners and the Global Medical Directors teams, pro-actively build a rolling calendar of supported engagements.
• Fully utilize the planning toolkit, ensuring effective tracking of deliverables and appropriate mitigation of risks to execution.
• Participate to the continuous development of the global Medical ESE Toolkit.
End-to-End Engagement Management
• Manage the end-to-end operational process of all types of engagements including advisory boards, medical education symposia, medical forums, etc.
• Manage each engagement as a small project, ensuring the on-time and compliant execution of engagements.
• Manage planning and timelines of engagements, carry out kick off calls with engagement owners, ensure contracts are fully executed, materials are reviewed and note to files and/or process deviations are dully documented before closing engagements.
• Manage payments and transparency reporting.
• Ad-hoc take full ownership of unplanned events where the business has a critical and timely need to meet HCPS
• Act as subject-matter-expert to support medical colleagues outside of Global Medical as they run local or regional ESE events
Meeting Vendor Management
• Define Meeting execution needs and capacity requirements
• Work with Procurement to source effective partners
• Define and agree on Vendor KPIs and then Manage the quality and delivery to these KPIs
• Develop global partner network of verified, high quality partners
Post Engagement
• Set up evaluations, analyze results and produce final reports
• Manage financial budget, invoices and payments
• Support the compliant closure of engagements
Qualifications
· Bachelor's degree (B.S.) in Business related discipline or life sciences degree with prior experience in vendor or contract management
· Minimum three years of relevant experience
· Experience in partnering and collaborating with cross functional teams on process improvement initiatives
· Experience with reviewing Requests for Proposals, Statements of Work, and Purchase Order processes
· Understanding of the Biotech/Pharmaceutical industry, the Medical function, familiarity with basic financial planning principles. Prior work within a Medical or Commercial organization is preferred.
· Working knowledge of finance tools such as iProcurement
