Company Description

Bicycle Therapeutics is a clinical-stage pharmaceutical company developing a novel class of medicines, referred to as Bicycle® molecules, for diseases that are underserved by existing therapeutics. Bicycle molecules are fully synthetic short peptides constrained with small molecule scaffolds to form two loops that stabilize their structural geometry. This constraint facilitates target binding with high affinity and selectivity, making Bicycle molecules attractive candidates for drug development. The company is evaluating zelenectide pevedotin (formerly BT8009), a Bicycle® Toxin Conjugate (BTC®) targeting Nectin-4, a well-validated tumor antigen; BT5528, a BTC molecule targeting EphA2, a historically undruggable target; and BT7480, a Bicycle Tumor-Targeted Immune Cell Agonist® (Bicycle TICA®) targeting Nectin-4 and agonizing CD137, in company-sponsored clinical trials. Additionally, the company is developing Bicycle® Radio Conjugates (BRC™) for radiopharmaceutical use and, through various partnerships, is exploring the use of Bicycle® technology to develop therapies for diseases beyond oncology.

Job Description

The Office Administrator will facilitate US site operations by managing reception, maintaining an orderly office, and scheduling travel and meetings. Other ad hoc functions can be expected from time to time.  

Daily on-site responsibilities include but are not limited to:

  • Reception duties and first point of contact for:
    • Administrative needs (Sign In app)
    • Contractors, visitors, vendors (scheduling & sign in procedures)
    • Office maintenance
    • Correspondence with property management
    • Deliveries including mail, catering, Instacart and general kitchen upkeep
    • Shipping and postage (FedEx, USPS, loading dock deliveries, team gifts, swag distributions, etc.)
  • Office management responsibilities, such as:
    • Miscellaneous administrative tasks to support office & operations including all site-related special projects
    • Facilitate onboarding tasks for new hires (such as fob programming, parking assignments, building access, onboarding schedules for select roles, on-site day 1 greetings, etc.)
    • Ordering office supplies (Amazon, IT)
    • General event planning (annual summer outing, holiday luncheon, staff events, other on- and off-site events as needed)
    • Receiving and sorting deliveries
    • Arranging catering and staff lunches
    • Maintaining digital bulletin board and awards board
    • Site maintenance, repairs, improvements (ESI, Cintas)
    • US-based administrative support of EH&S protocols in line with UK Team (this role entails Red Cross training and Emergency Coordinator duties) 
  • Scheduling responsibilities, such as:
    • Creating calendar entries
    • Travel planning
    • Expense reporting
    • Basic meeting coordination
    • More complex meeting coordination with the help of the EA team
    • Planning staff events
  • Provide interstitial support that makes Bicycle a great place to work:
    • Foster connections among colleagues
    • Promote colleague engagement and solicit contributions to site “virtual” bulletin board and Intranet

Qualifications

  • Administrative assistant or operations experience
  • Experience using Microsoft Office software including Word, Excel, PowerPoint, Outlook
  • Extraordinary attention to detail
  • Proactive troubleshooter, committed to constant improvement. Ability to stay calm under pressure, improvise as needed
  • Good people skills and ability to communicate with internal and external resources through multiple media, written and oral
  • Able to handle and prioritize a high volume of assignments while maintaining attention to detail, commitment to follow-through, and providing appropriate updates to stakeholders as needed
  • Demonstrated ability to work in teams or independently as needed and as relevant to complete work assignments and various tasks
  • Ability to excel in a fast paced, growth environment
  • Results focused, can-do attitude. Embraces new assignments and demonstrates initiative to help whenever appropriate. Eschews “not my job” mentality
  • Excellent manner to represent the company to externally – professional, knowledgeable
