Job Description

The Production Clerk / Production Administrator is responsible for the accurate execution, validation, and control of all production related transactions within the ERP system (D365). This role ensures alignment between physical production activities and system data, maintaining inventory accuracy, supporting production planning, and improving operational efficiency. This position serves as a key link between Production, Quality Control, Warehouse, and Supply Chain, centralizing administrative tasks that currently create inefficiencies, delays, and data inconsistencies.

Essential Duties/Functions
1. ERP Data Entry & Transaction Execution

  • Ensure accurate and timely entry of data from production orders into the ERP system
  • Execute: material consumption, Report as Finished (RAF) transactions and inventory movements and corrections
  • Maintain accuracy of batch records, quantities, and production status

2. Data Verification & Control

  • Verify the accuracy of ERP system transactions by production employees
  • Identify and correct discrepancies in material consumption, packaging, quantities and inventory records

3. Production Documentation & Administration

  • Prepare and maintain production-related documentation according to current requirements
  • Maintain accurate records of batch tickets, inventory transactions and adjustments and corrections
  • Ensure documentation is complete and audit-ready

4. Order Processing

  • Print labels and batch tickets for production and packaging
  • Ensure label accuracy aligns with production orders and specifications

5. Order Monitoring & Execution Tracking

  • Monitor order fulfillment status based on input from Production and QC.
  • Identify delays, inefficiencies, or discrepancies impacting execution
  • Issue updates to adequate parties as requested

6. Reporting & Escalation

  • Report ongoing operational or system issues and their resolutions to supervisors
  • Document root causes and corrective actions
  • Escalate recurring or critical issues as needed

7. Reporting & Performance Tracking

  • Prepare periodic production reports in agreed formats and timelines
  • Track and report key production metrics and system performance issues

8. Work Documentation & Discipline

  • Maintain documentation of own work as required by supervisor
  • Follow standardized processes and ensure traceability of all activities

Qualifications

Qualifications

  • 2+ years in manufacturing, operations, or administrative role
  • Experience with ERP systems (D365 preferred)
  • Strong understanding of data accuracy and reconciliation

Physical Requirements

  • Employee must bend, sit, squat, stand, walk, climb, push/pull, and kneel.
  • Employee must reach above shoulder level, use fine finger movements, other.
  • Employee is exposed to excessive noise, moving machinery, marked changes in temperature and/or humidity.
  • Employee is exposed to dust, fumes, gases, and chemicals.
  • Employee must be able to carry/lift loads of up to 50 lbs.
