Job Description

Are you a master of details with a passion for organization and making an impact? As our Legal & Regulatory Administrative Assistant, you’ll be the backbone of our global legal operations, ensuring everything runs seamlessly. Reporting to our Senior Counsel in the Philippines, you’ll take charge of contracts, safeguard intellectual property, manage corporate filings, and keep us aligned with regulatory requirements worldwide. You’ll also become our contract tool expert and create systems that empower the entire team. What you’ll be doing:  

Contract Tracking and Management; Maintenance and Management of CLM Tool 

  • Maintains and manages the contract lifecycle management tool (CLM) of Balsam Brands, including: Configuring and managing workflows; Managing contract and legal request data; Generating reports and analyzing data; Understanding and managing integrations with other business systems; and Understanding and exploring the potential of AI and machine learning within the CLM platform. 

  • Maintains and tracks all contracts to which Balsam Brands is party. 

  • Handles, safeguards, and maintains legal forms database for internal use. 

Intellectual Property Tracking and Management 

  • Tracks and administers trademark, copyright, and patent portfolios in conjunction with General Counsel and outside intellectual property counsel.  

  • Reports intellectual property infringement and coordinates with external vendors and external counsel in protecting the intellectual property rights of Balsam Brands.  

  • Provides advice to internal teams on proper trademark usage across websites and other creative assets.  

  • Reviews proposed product names and descriptions to ensure non-infringement of existing registered marks. 

Domain Name Management 

  • Tracks and administers Balsam Brands’ domain portfolio and coordinates with Balsam Brands’ external domain management provider. 

Internal Knowledgebase Management 

  • Maintains templates, checklists, FAQs, best practices, and other resources for common legal tasks and queries.  

  • Ensures the up-to-date nature of all information within the knowledge base.  

  • Improves knowledge base accessibility and usability, such as by organizing and categorizing information for easy retrieval. 

Corporate Filings and Registrations 

  • Administers and maintains corporate, regulatory, and some tax filings and registrations in a variety of U.S. (and some non-U.S.) jurisdictions, including annual renewals.  

  • Conducts basic research on U.S. federal and state laws, as well as the laws of other countries, to determine tax registration and filing obligations. 

Basic Legal and Market Research 

  • Performs basic legal research, analyzes information, summarizes findings accurately, and responds to various queries regarding the same.  

  • Provides insight into best and common industry practices by benchmarking similar businesses concerning, among others, marketing and advertising, sustainability, and data privacy. 

General Functions 

  • Manages sensitive and confidential matters like corporate structure, internal legal matters, and organizational changes. 

  • Assists in the regulatory obligations of Balsam Brands. 

  • Assists and provides efficient day-to-day operation of the company’s legal functions. 

Performs other duties that may be assigned from time to time. 

What we’re looking for:  

  • College graduate of any course, preferably with background in legal work.  

  • Ability to conduct research, analyze information, and summarize findings concisely. 

  • Excellent written and verbal English communication and interpersonal skills are paramount. This includes drafting correspondence (emails, letters) and effectively communicating with foreign counterparts, government agencies, and vendors, and taking accurate meeting minutes. 

  • Highly organized with the ability to prioritize tasks, meet deadlines, and manage multiple projects simultaneously. 

  • Project management skills. 

  • Meticulous attention to detail is crucial. 

  • Ability and desire for continuous learning and adaptation to new technologies.  

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint), email, and other relevant software. 

  • Ability to identify and analyze problems, troubleshoot technical issues, and find effective solutions independently and proactively. 

  • Ability to adapt to changing priorities and work effectively. 

  • Ability to have phone/web conference calls in early morning or late evening with foreign counterparts, partners/vendors, and where needed. 

Nice to have: 

  • Experience conducting legal research. 

  • Experience in importing, exporting, and managing data within a system, as well as the ability to understand data structures, APIs, and integrations with other business systems.

Location: The Legal & Regulatory Administrative Assistant position is a work-from-home position for Balsam International Unlimited Philippine ROHQ in Manila. Team members in the Philippines are located within Metro Manila, Bataan, Batangas, Bulacan, Cavite, Laguna, Pampanga, Rizal, and Tarlac areas only.

Our must-haves:

  • Must be open to joining some face-to-face gatherings, like our monthly functional meetings and quarterly teamwide events.
  • Must have a back-up laptop or desktop for use, if primary laptop encounters issues.
  • Must have a fast, reliable DSL, Fiber or Broadband connection (not mobile or broadband stick) as the primary internet connection with a minimum actual speed of 10MBPS.
  • Must have a back-up internet connection of the same speed, if primary connection becomes spotty.

Status: This is a full-time, permanent position with benefits.

Hardware Provision: Company-issued Laptop will be provided on the first day.
