Job Description

As a Balsam Brands Executive Assistant, you will be responsible for a variety of tasks related to organization and communication, including managing Microsoft Outlook calendars on a regular basis and scheduling meetings with internal and external partners.

You will assist the Chief Operating Officer, Chief Merchandising Officer, and VP of Digital Experience & Product Management to provide critical administrative support to help the business run efficiently. We are looking for someone who is extremely detail-oriented and a great multi-tasker. Communication skills, both written and verbal, are paramount.

This position reports to the Director of Executive Administration. This is a full-time position located in Boise, ID. This role is expected to work in a hybrid model, which includes two days in-office.

What you’ll do:

Executive Assistance:

  • Support multiple executives and leadership team members with regard to time management, prioritization, delegation, and organization
    • The executives that you will support have some of the most complex cross-functional leadership roles at Balsam
    • Research, prioritize, and follow up on incoming issues and concerns, including tight timelines and sensitive information
  • Serve as Master Calendar Optimizer. Support your executive in managing their time and schedule by:
    • Communicating and prioritizing relentlessly, optimizing their calendar with professional and personal commitments
    • Keeping your executive informed of and prepared for upcoming commitments and responsibilities and following up appropriately
    • Prioritizing conflicting needs; handling matters expeditiously and proactively
  • Manage all aspects of internal and external meetings (including ensuring that an agenda has been circulated for each meeting)
  • “Door to door” travel planning for international and domestic trips including booking flights, hotels, hotel transfers, and any other elements related to travel
  • Production and editing of internal meeting material such as agendas and PowerPoint presentations
  • Serve as liaison for executives with external partners and Balsam Brands team members
  • Coordinate large group meetings involving the leadership team and senior colleagues
  • Collaborate with other Balsam Brands Executive Assistants as needed to resolve calendar conflicts, support cross-functional meetings and events, and work through other challenges
  • Process written and verbal correspondence on behalf of your executives. E-mail organization as needed
  • Prepare and submit monthly expense reports

Other special tasks and projects:

  • Other duties may include fielding telephone calls, receiving and directing visitors, word processing, filing, and faxing
  • Assist with ad hoc special projects, events, and additional executive assistance, as needed

What you bring to the table:

  • 5+ years of experience supporting senior leaders, preferably with some experience supporting C-level executives
  • Calendar Jenga skills: a knack for coordinating complex schedules of very busy people to ensure optimal collaboration time
  • Resourcefulness and adaptability:
    • You are prepared for a dynamically changing and sometimes ambiguous environment
    • You embrace evolving priorities and shift gears easily and often
    • You work efficiently with minimal guidance
  • Forward-looking thinker: you actively seek opportunities and propose solutions. You have a passion for optimization and process improvement

  • Continual attention to detail in composing materials, establishing priorities, and meeting deadlines
  • Exceptionally strong organization and time management skills, dependability, and follow-through
  • Strong communication (verbal, written) and interpersonal skills (high EQ!). Exceptional ability to interface with all levels of the team and range of external partners
  • Experience with MS Office Suite including Word, Excel, and Outlook required
  • Travel planning experience required (experience with Concur and international travel planning strongly preferred)
  • Bachelor’s degree preferred
