Job Description

Director of Grants Management  

  • Internal Job Level: Director 
  • FLSA Status: Exempt  
  • Supervisory Responsibilities: Grants Manager (1), Senior Grants Manager (1), Grants Management Systems Analyst 
  • Reporting to Title: VP of Operations and General Counsel 
  • Salary: $145,000 to $170,000 per year 

POSITION SUMMARY: The Director of Grants Management is responsible for providing strategic leadership and operational oversight of the grants and contracts management function for the Bainum Family Foundation and its affiliated entities, including its sister 501(c)(4) organization. This Director role provides an opportunity to continue developing the grants management function to support the evolving needs of the Foundation and its affiliated entities while ensuring efficiency, effectiveness, and equity within its operations. The Director develops, recommends, and implements grant making and contracting policies and processes related to the full spectrum of the grants lifecycle; and manages information sharing with key internal partners (executive, program, finance, OLE and communication teams) to maintain strong collaborative partnerships. Under the guidance of the VP of Operations and General Counsel, the Director of Grants Management partners with other leaders and the grants and contracts management team to shape the grants management strategy and budget. 

The role requires management level decision-making skills for grants management policies and practices, the ability to strategically align organizational and grants management priorities with the roles and responsibilities of grants staff, and the ability to manage and develop a small team. 

The Foundation structures our work through a portfolio of interconnected initiatives. All staff play a role in connecting and synthesizing knowledge across teams to further the Foundations’ Mission and Vision. Therefore, this person may be assigned to any of the Foundation’s initiatives based on initiative cycles and evolving organizational needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

Strategy and Leadership 

  • Ensure the Foundation’s and (c)(4)’s grantmaking practices and approaches are consistent with organizational goals and value and center the partner/grantee experience. 
  • Provide strategic leadership and thought partnership to the staff and partners/grantees, regarding grantmaking practice, knowledge, and operations. 
  • Serve as a leader and guide in grantmaking processes and procedures, facilitating engagement and adoption of best practices across the organizations. 
  • Continually stay abreast of new developments in philanthropic best practices and tools and consider how they may enhance the Foundation’s and (c)(4)’s grantmaking strategies. 
  • Contribute to institutional strategic planning and culture-building efforts that promote equity, diversity, and inclusion.  
  • Strengthen internal and external partnerships through development of consistent feedback loops and communication channels. 

Grants Management 

  • Partner closely with grants team and leadership in programs, finance and organizational learning and effectiveness (OLE) to develop and implement grantmaking policies and practices that balance equity, efficiency and effectiveness, and promote learning, transparency and accountability.  
  • Frequently interact with senior leadership to discuss all components of the grants and contracts lifecycle, including goals and expectations, roles and responsibilities, timelines, status, and outcomes. 
  • Apply equity principles to reveal   bias surrounding grantmaking practices, including partner selection, due diligence, and reporting, while centering the needs of the communities impacted. 
  • Oversee the processing and compliance of approximately 150 grants and contracts, including review and approval processes, disbursements and grantee reporting/contract invoicing. 
  • Direct the design and use of data systems that support programmatic and organizational goals for learning and monitoring; ensure systems include the full scope of data collection, storage, analysis, transparency, use, and reporting of grants-based data including performance metrics such as outputs and outcomes. 
  • Collaborate with legal counsel to ensure resolution of complex grantmaking, compliance or contractual issues. 
  • Collaborate closely with senior leaders and the grants and contracts management team to create annual operating plans and budgets. 
  • Effectively communicate grantmaking practices and changes internally and externally to promote adoption, transparency and understanding. 
  • Liaise with the relevant finance staff to maintain financial controls. 
  • Support the annual internal audit, as needed. 

Team Development and Management 

  • Lead the planning, recruitment and cultivation of a high-performing grants and contracts management team to support the execution of grantmaking strategies and processes. 
  • Manage direct reports to implement the mission, vision and goals of the Foundation and of the (c)(4), including establishing team goals aligned with organizational goals, monitoring team performance and development goals, assigning accountabilities, establishing priorities and conducting regular performance appraisals. 
  • Promote a culture of high performance and continuous improvement that values learning and a commitment to quality. 
  • Coach and develop the team using a supportive and collaborative approach on a consistent basis, inspiring confidence, trust, respect, and transparency within the team.  

Qualifications

FUNCTIONAL/TECHNICAL REQUIREMENTS: The requirements listed below are representative of the knowledge, skill, and/or ability required.   • A minimum of 10 years professional work experience, with at least 5 years in a grants manager/officer role. Experience with 501(c)(4) grants management a plus. 
  • Bachelor’s degree preferred; will consider experience in lieu of a degree.  
  • A deep understanding of grants management processes and related financial and compliance regulations. 
  • Strong systems orientation, with a track record of improving and enhancing existing approaches and developing new solutions; familiarity with Fluxx a plus.  
  • Able to thrive in an evolving organization and culture, seeking to adopt new routines and systems for the Foundation’s and the (c)(4)’s grants management function in alignment with an emergent program strategy approach. 
  • Exceptional interpersonal, written and verbal communication skills and ability to build strong, collaborative relationships at all levels and foster mutual trust and respect. 
  • Supervisory experience and excellent team management skills. Ability to manage, support and develop team members, and cultivate an equitable and inclusive atmosphere. 
  • Proven experience in strategic planning, priority setting, workload management and execution of projects and systems within a complex organization.  
  • Self-motivated and proactive, able to move work forward independently.
