Job Description

What You’ll Drive

  • Provide comprehensive secretarial and administrative support to the Project Management and Technical Office.
  • Receive, register, log, and properly distribute all incoming and outgoing documents.
  • Prepare and maintain daily reports, technical submittals, and drawing records in the CSD system.
  • Type and format letters, faxes, emails, and memos; receive and manage mail/email correspondence.
  • Maintain and regularly update correspondence log registers and records in the CSD system.
  • Attend and manage telephone calls and act as the front office point of contact.
  • Prepare minutes of meetings, payment certificates, and monthly progress reports for consultants.
  • Establish, organize, and maintain an effective filing and document control system.
  • Coordinate with subcontractors and consultants regarding documentation and administrative matters.
  • Liaise with Head Office (HO) on administrative and coordination tasks.
  • Prepare weekly and monthly manpower and plant/equipment reports.
  • Manage stationery inventory and office supplies.

Qualifications

You’re a Great Fit If You Have

  • Diploma or Bachelor’s degree in Secretarial Studies, Business Administration, or a related field.
  • Minimum 5 years of experience as a Secretary or Administrative Assistant, preferably in a construction, engineering, or project management environment.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint).
  • Experience using document control systems (CSD or similar systems).
  • Strong typing and formatting skills for reports, letters, minutes of meetings, and technical documents.
  • Strong document control and filing system management skills.
  • Ability to prepare daily, weekly, and monthly reports (manpower, plant, progress reports).
  • Excellent verbal and written communication skills.
  • Ability to coordinate effectively with subcontractors, consultants, and Head Office.
  • Professional telephone etiquette and front-office handling skills.
  • Well-organized, detail-oriented, and able to manage multiple tasks.
  • Strong time management and prioritization skills.
  • Ability to work independently and as part of a team.
