Job Description

  • Answer calls and transfer them to the right people or departments.
  • Take messages for staff members.
  • Greet visitors and guide them to the appropriate individuals.
  • Sort and distribute mail to staff daily.
  • Date-stamp incoming documents.
  • Collect outgoing mail.
  • Resolve issues with courier services for pick-up and delivery.
  • Organize and maintain office files and records.
  • Keep track of incoming and outgoing correspondence.
  • Handle incoming faxes and distribute them.
  • Assist with general administrative duties like word processing, data entry, scanning, and faxing.
  • Update mail and phone directories.
  • Coordinate office support services and order department supplies.
  • Coordinate office cleaning and maintenance.
  • Prepare expense claims and forward them to the accounts department.
  • Ensure confidential handling of all documents.

Qualifications

  • Candidate must have a minimum High School Diploma, preferably with Bachelor’s degree;
  • Must have at least 1-3 years of experience on the actual role, in a contracting company, preferably with Main Contractor; Middle East experience is highly preferred;
  • Good verbal and written skills to effectively interact with callers, visitors, and colleagues.
