Job Description
- Answer calls and transfer them to the right people or departments.
- Take messages for staff members.
- Greet visitors and guide them to the appropriate individuals.
- Sort and distribute mail to staff daily.
- Date-stamp incoming documents.
- Collect outgoing mail.
- Resolve issues with courier services for pick-up and delivery.
- Organize and maintain office files and records.
- Keep track of incoming and outgoing correspondence.
- Handle incoming faxes and distribute them.
- Assist with general administrative duties like word processing, data entry, scanning, and faxing.
- Update mail and phone directories.
- Coordinate office support services and order department supplies.
- Coordinate office cleaning and maintenance.
- Prepare expense claims and forward them to the accounts department.
- Ensure confidential handling of all documents.
Qualifications
- Candidate must have a minimum High School Diploma, preferably with Bachelor’s degree;
- Must have at least 1-3 years of experience on the actual role, in a contracting company, preferably with Main Contractor; Middle East experience is highly preferred;
- Good verbal and written skills to effectively interact with callers, visitors, and colleagues.
