Job Description

We are looking for an organized and driven Financial and Administrative Coordinator to join our team at BESIX RED Portugal.

Your mission:

  • Financial reporting to the company’s HQ based in Belgium.
  • Acting as a main point of contact for external accounting companies as well as for external auditors.
  • Coordination of financial, legal, tax and administrative issues related to setting up new entities.
  • Working in close collaboration with the country director and the finance department in order to optimize the organization of the subsidiary and the reporting to the HQ.
  • Playing an active role in defining and developing the organisation structure and processes. 
  • Own all office related maintenance and equipment procurement.
  • Designs and implements office policies by establishing local standards and procedures.
  • Measuring results against standards, and making necessary adjustments.
  • Owns the invoice approval process to ensure all invoices are appropriately approved.
  • Bank account and credit card reconciliations.
  • Processing payments.
  • Processing and recording of employee expenses.
  • Monthly client invoicing.
  • Processing payroll, and maintaining local employee schedules with direct report to HQ.
  • Managing the employee life cycle from onboarding through to offboarding, including benefits administration.
  • Organizing office events and employee recognition.
  • Arrange business travels and accommodation when necessary.
  • Occasionally translate documents from English to Portuguese, and from Portuguese to English.

Qualifications

  • MSc degree in accounting and finance or equivalent in experience.
  • Min 5 years of professional experience in finance roles.
  • Experience in real estate might be an asset.
  • Very good knowledge of local accounting principles and management accounting.
  • Out of the box thinking, self – motivation.
  • Excellent communication and negotiation skills, open minded and friendly.
  • Ability to act without permanent supervision.
  • Open for flexible scope of responsibility related to the early stage of company’s development in Portugal.
  • Handles highly sensitive and confidential information requiring a high level of discretion.
  • Good judgment and analytical skills.
  • Strong time management and organizational skills, with the ability to multitask.
  • Solution-oriented, responsible, flexible, proactive and with resilience skills.
  • Attention to detail.
  • Advanced skills with MS Office Products. In particular, Outlook, Excel, and PowerPoint.
