Job Description

BESIX Watpac are looking for a project assistant to join the team working on a landmark project win close to the Brisbane CBD. The key responsibilities of this position include:

  • Proactively drive company safety, environment and quality policies, practices and procedures in compliance with Management Plans and OH&S legislative requirements to provide a safe workplace at all times.
  • Administration of post-completion defects works including the release of final retentions.
  • Document control including use of web-based Document Management Systems and Contract Administration of minor projects.
  •  Clerical support to Contract Administration and providing support to other staff/sites where required.
  • Mentoring and training of new Site Clerk/Document Controllers.
  • Assisting in organisation, catering and general preparation for site meetings, special events, client site visits, meetings, special guests etc.
  • Managing all incoming and outgoing mail, samples and documents, logging, distribution, filing and archiving of correspondence, documents and drawings received. Maintaining registers including materials registers, drawing registers and files.
  • Attending to reception/calls and managing site attendees and visitor access.
  • Preparing monthly reports and other reports as required.

Qualifications

The incumbent in this role will require the following qualifications and experience:

  • Ability to communicate, influence and build effective relationships at all levels of the business with a particularly strong internal customer focus.
  • High level of organisational and time management skills.
  • A high level of accuracy and attention to detail.
  • Intermediate level of MSWord, MSExcel, MSOutlook and ability and willingness to learn new software packages as required.
  • Proven high level of professionalism, maturity, candour and confidentiality in daily work ethic.
  • Previous experience in Document Control.
  • Able to cope with shifting work priorities and the ability to prioritise work.
