Job Description

Provide service to engineering projects needing parts and/or materials to perform their job and process requisitions and work orders for required materials.

PRINCIPAL DUTIES (Responsibilities include but are not limited to):

  • Ensure proper handling of all orders to include: Receive vendor orders, enter into business system, prepare customs paperwork for shipment, packaging, and shipping instructions (including special requirements and code for payment);
  • Coordinate customer orders with scheduling, production& shipping;
  • Working with the customer over phone or in person to determine the correct parts the customer needs.
  • Examines engineering drawings, blueprints, orders, and other documentation for confirmation of parts to be ordered.
  • Assists in determining adequate spare parts inventory requirements for customers.
  • Working with vendors to correctly order stock items, non-stock special items and determine lead times.
  • Continually communicate delivery dates to customers, keep apprised of any changes, and follow up on all orders and deliveries;
  • To maintain customer history files. Distribute copies to customer and other designated recipients;
  • Provide logistical status and/or proof of delivery of shipped orders to ensure order location that has left shipping;
  • Generate customer invoicing;
  • Communicate with warehouse and inventory when needed.
  • Prepare general courier packages and miscellaneous mailings;
  • Perform data entry and other clerical duties;

Qualifications

  • Proven Customer service experience
  • Ability to interact with customers in a professional manner
  • Clear verbal and written communications skills
  • Ability to multi-task
  • Basic Microsoft experience (Word, Excel, PowerPoint)
  • Basic computer navigation experience
  • Experience of inventory control management
  • Strong leadership skills
  • Mechanical aptitude preferred
  • Base knowledge of customs paperwork/international shipping documents preferred

 

Associate Degree or equivalent work experience in customer service and/or knowledge of logistics. Must have the ability to listen, be patient, and attentive in order to best service customers, both internal and external; willing to continuously learn and improve, think logically and methodically in order to apply problem-solving strategies.

This position requires a flexible, independent thinker and self-starter with well-developed interpersonal skills, organization, the ability to work under pressure in time sensitive environments, communicate effectively, at all levels, both verbally and in writing, handle multiple tasks in a fast-paced environment, prioritize work, work independently and as a team member and work with little to no supervision.

Additional requirements include maintaining a high degree of accuracy, possess a cooperative attitude, represent Company interest(s) when dealing with customers, and be sensitive to customer satisfaction to include understanding customer needs and possess strong sense of urgency. Must regard confidentiality at all times.
