Job Description
Work Schedule: - 8AM -4:30 PM, Monday - Friday
We are seeking a highly organized and motivated Administrative Assistant to play a vital role in supporting our People & Culture team and the wider organization. This role provides critical administrative support across three key sites located in Mentor and Painesville, Ohio. This role is a fantastic opportunity for someone with strong communication and interpersonal skills who thrives in a fast-paced environment and enjoys contributing to a positive and productive workplace. This role is Monday-Friday, 8am-4:30pm.
Key Responsibilities:
Communications and Employee Engagement:
Work closely with site leaders to develop and actively manage the communication stream of key business and site objectives and initiatives to the workforce which can include posting information at the site, sending emails and direct verbal communication.
Plan and implement employee recognition programs and engagement activities to foster a positive work environment.
Coordination of plant activities such as meeting announcements, site celebrations, planning of plant functions, catering services, etc.
Administrative and Office Support:
Support the onboarding process and provide administrative support for new hires, ensuring a smooth transition into the company.
Manage office files and records, including confidential information and required compliance postings, in accordance with internal procedures. Examples include maintaining organization charts, phone lists, email groups, employee picture boards, in/out boards, communication boards and other site checklists as necessary.
Support general office operations, including managing communication tools, phone systems, office supplies, and document creation.
Act as a point of contact for communicating with key vendors including but not limited to food/vending services and janitorial services.
Maintain site security procedures by creating key cards for employees and vendors and removing access when necessary.
Support the on-boarding process: conduct New Hire Orientation, completion of I-9 section 2, setup desks/ work areas and provide office supplies.
Complete special assignments and projects as required.
Provide additional administrative assistance as assigned.
Operations and Data Support:
Assist site leadership with requests for data acquisition/analysis and other administrative services. Ensure data integrity for the site personnel.
Collaborate with teams to deliver operational support and contribute to continuous improvement efforts.
Qualifications
High school diploma required. Associate degree in Human Resources or related field preferred.
3+ years of experience in an administrative role, ideally within a manufacturing environment.
Proven capability to handle multiple tasks and interact with various stakeholders simultaneously.
Strong organization and time management skills.
Proficiency in Google Workspace
Excellent verbal, written, and presentation skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Passion for building strong relationships and collaborating with employees at all levels of the organization.
