Job Description
Position Overview
We are seeking a collaborative and detail-oriented professional to join the Global Communications team as Coordinator for Global Communications and the Avery Dennison Foundation. Reporting to the Vice President, Global Communications, this individual will support the strategic goals of the Global Communications team by managing administrative and operational tasks, including budget, vendor management, financial and legal compliance for expenses and professional services, scheduling, event planning, and program and subscription management.
This individual will also support the Avery Dennison Foundation and Corporate Philanthropy team and have a dotted-line reporting structure to the Vice President, CSR & President, Avery Dennison Foundation. In this coordinator staff capacity, this individual will serve as a bookkeeper, supporting payment processing, QuickBooks reconciliations, tax and audit preparation and invoice processing, in addition to other administrative and logistical support as required.
Primary Responsibilities
Department Operations: Oversee vendor management, financial and legal compliance for expenses and professional services, and coordinating department operations. Manage logistics for various team communications touchpoints and outreach/engagement activities.
Finance Management: Manage multiple budgets, including budget reports, AOP, quarterly forecasting and monthly accruals. Consult on the viability of various initiatives based on available funds, providing an overview of how to best utilize the funds across multiple budgets.
Foundation and Philanthropy Support: Act as a bookkeeper for the Avery Dennison Foundation and Corporate Philanthropy team, managing invoices, payments, bank interactions, and leading audit and tax processes, specifically for the Foundation. Facilitate scheduling of Foundation meetings (Trustees, Committees, Off-sites).
Administrative Support: Coordinate travel and expense reports, setting up global meetings, vetting vendors, and supporting RFPs. Work with various departments to post enterprise Press Releases on demand.
Event Support: Provide logistical support for special events (in-person and virtual), including activity and event development, managing outside services, and oversight of AV and other support activities.
Subscription and Asset Management: Manage subscriptions (e.g., Grammarly, Business Wire, Frontify) and serve as the primary contact for the company’s stationery and employee store/branded merchandise programs.
Qualifications
Minimum Qualifications
Bachelor’s degree required.
8+ years of progressive work experience, with an emphasis on operational and administrative support.
Prior strong experience with group finance management (budget oversight, quarterly forecasting, accruals, etc.).
Strong communication skills, with the ability to effectively and professionally engage with stakeholders at all levels.
Ability to take initiative and proactively seek solutions.
Ability to establish clear priorities quickly and consistently meet deadlines.
Excellent organization, with the ability to manage multiple projects simultaneously.
Results-oriented, ensuring a strong connection between actions and group objectives and outcomes.
Additional Information
The salary range for this position is $71,000- $94,900/ year.
The hiring base salary range above represents what Avery Dennison reasonably expects to pay for this position as of the date of this posting.
