Job Description

The Director of Client Operations will play a vital role in our growing firm. You will report to and will be the “right hand” to our CEO, focusing on building structures, processes, and relationships to help us scale. You can think “big picture” to proactively identify strategic requirements, and you are also ready to roll up your sleeves to build the tools and processes to support firm operations. 

You have proven experience as a Director of Operations or similar role, an appreciation for strong systems and processes, and deep understanding of marketing, client relationships, agency operations, and team management.

Your role will expand as our company grows. Initially, we expect the COO will focus on 

  • Organizing business operations, including 

    • managing client account operations

    • establishing and leading client, vendor, and subcontractor onboarding, and performance 

    • formalizing business development processes and tracking systems, and

    • taking a critical eye to our workflow systems (Asana, Slack, Dropbox, etc.) to ensure we are using them consistently and to their full capability 

  • Building scalable processes and assets to help the firm operate more efficiently

  • Developing financial and resource planning models and investment strategy 

  • Serving as a backstop to CEO, including representing the company in discussions with potential clients, partners, or other stakeholders.

 

Duties & Responsibilities

  • Operations 

    • Equipping client teams with best practices, ensuring working groups understand roles, timelines, internal systems and expectations, and addressing bottlenecks early.

    • Generate strategy and scope for necessary firm-level initiatives and follow through with task management, timelines, resource planning, and prioritization. 

    • Ensuring all projects are delivered on time, on strategy, on budget with all goals met

    • Developing and managing financial and resource planning models and investment strategy 

  • Project Management

    • Support client teams build and manage project planning and ensure all partners execute on schedule while keeping stakeholders informed of progress toward the objectives and critical milestones.

    • Participate in strategic engagements (scope opportunities for organizational engagement, partnerships, joint ventures, referrals, etc.)

  • Core Process Development

    • Formalize business development processes and tracking systems

    • Design and implement client onboarding and feedback processes

  • Other strategic initiatives, as required

Qualifications

  • Outstanding organizational ability and strong attention to detail
  • Exceptional interpersonal and communication skills and executive presence
  • Able to cultivate successful relationships with external partners
  • Excellent strategic, analytical, and problem-solving skills
  • Demonstrable competency in strategic and resource planning 
  • Excellent writing ability
  • Experienced in managing multiple client accounts - agency management experience is a plus
  • Customer-service focused
  • Proficient in Microsoft Office suite, Google suite, Slack, Asana, CRM systems
  • BA in Marketing, Communications, Business Administration or relevant field; advanced degree is a plus
  • Able to work independently without much supervision
     

Additional Information

Position Type:
Initially 20-30 hours/week on a contract engagement, with the intention and potential for increased engagement after six months.


Travel:
Due to COVID, no travel is expected. May change in future.
