Job Description

Embark on a captivating journey as a Sales & Marketing Coordinator, where your role transcends traditional boundaries to weave a narrative of luxury and distinction. In this multifaceted position, you will be the architect of seamless synergy between sales and marketing efforts, crafting a symphony of strategies that elevate our brand to new heights. Your responsibilities encompass an array of tasks, from coordinating sales initiatives to collaborating on sophisticated marketing campaigns that resonate with our guests. As the steward of this harmonious blend, you'll play a pivotal role in shaping the narrative of our resorts, ensuring that every aspect aligns with the pinnacle of excellence for an unforgettable guest experience.

  • Serves as an ambassador for the sales team greeting clients from Key travel agency 
  • Execute contract turnovers (ensuring all contract details are noted in Delphi and the PMS)
  • Runs GRC reports and events reports and distributes accordingly
  • Acts as the gatekeeper for all sales contracts, ensuring all details & deposit schedules are correct
  • Runs reports as needed
  • Ensure appropriate guest follow up takes place in a timely and proper fashion, in accordance with the standard operating procedures
  • Distribute BEOs, BEO changes
  • Provide marketing assistance with distribution of collateral
  • Supports handling required documentation for VAT deduction for Groups
  • Coordinates VIP amenities, welcome notes, and transportation for Travel advisors, Wedding Planners and Meeting Planners
  • Keeps internal Groups and Events photo-gallery updated 
  • Supports on Discovery Visits and Familiarization trips by coordinating and sending the site alerts, agendas, delivering welcome notes, amenities and coordinating transportation for the participants
  • Act as a backup sales resource to the sales team. 
  • Assist Events and Catering Managers with the preparation of Resumes, master accounts and group files
  • Supports DOS in auditing hotel's profile on all relevant B2B and B2C partners 
  • Supports DOS with benchmarks and analysis as needed 

Qualifications

 

  • Bachelor’s degree in Hospitality Management, Tourism, Business Administration, Marketing, or a related field preferred
  • Minimum 1–3 years of experience in a Sales, Events, Reservations, or Marketing coordination role within hospitality, preferably in luxury hotels or resorts
  • Strong understanding of hotel operations
  • Experience working with Delphi and Property Management Systems (PMS) preferred; ability to quickly learn new systems required
  • Familiarity with Group Rooms Control (GRC) reports, BEOs, event reports, and group files is a plus
  • High attention to detail with proven ability to manage contracts, deposit schedules, and documentation accurately
  • Strong organizational and time-management skills, with the ability to handle multiple priorities and deadlines in a fast-paced environment
  • Excellent written and verbal communication skills in English and Spanish
  • Professional, service-oriented demeanor with the ability to confidently interact with travel advisors, wedding planners, meeting planners, and VIP guests
  • Comfortable acting as a liaison across departments (Sales, Events, Front Office, Finance, Marketing)
  • Flexible and team-oriented attitude, with willingness to support the sales team as a backup resource when needed
  • Ability to maintain discretion and confidentiality when handling sensitive client and financial information
