Job Description

The base salary range for this position is $24.00 - $25.00 hourly.

Our Sales Coordinator is the gatekeeper for all sales and marketing systems and reporting needs. This role provides administrative support to the sales team, and handles the reporting and ongoing sales system updates. The ideal candidate is well-organized, analytical, a critical thinker and self-motivated. The successful candidate must be able to coordinate the daily needs of the remote and on-site sales team. He or she will be comfortable with guest-facing interactions, have strong written communication ability with clients, conduct face-to-face meetings with various departments on behalf of the remote sales team, and be proficient with technology. The ideal candidate will have the ability and desire to develop expert level proficiency in hospitality industry specific systems.

Qualifications

  • Must be certified in Microsoft Office (specifically Excel) and proficient in Google Suite
  • General understanding of Salesforce Amadeus fdc (Delphi)
  • Work closely with sales managers and the group reservations team to prepare addendums as needed.
  • Assist in the preparations of site inspections and on occasion participate in site inspections alongside or on behalf of the sales team
  • Run GRC reports, pace reports, forecasting reports, prospecting reports and distribute accordingly
  • Acts as the gatekeeper for all sales contracts, ensuring all details & deposit schedules are correct
  • Works with the group sales managers to audit bookings and turn contracts definite
  • Execute contract turnovers (ensuring all contract details are noted in Delphi and Opera PMS)
  • Run Market Data reports as needed
  • Facilitate weekly/monthly GRC pickup
  • Assist with VIP/Site reservations on behalf of the sales team as needed (comps/discounted rates, comp activities, Opera notes)
  • Attend Pre-Cons as requested by the sales and/or events manager
  • Daily touch base with in-house planners as needed by the sales managers
  • Keep current with all communication and hotel information
  • Planner follow up (professional written/email, phone conversations, timely text, etc.) at the request of the sales team
  • Assist sales managers in all capacities to ensure maximization of hotel room revenue and occupancy
  • Maintain team production report and alignment of department revenue goals
  • Create sales messaging via Canva and Groove Templates for the sales team in collaboration with marketing efforts
  • Design and implement sales projects on a case by case basis (ex: mountain goat competition, kicker opportunities, prospecting/soliciting competitions, etc.)
  • Assist with the preparation of pre-trip expense forms, trip reports, logging of Delphi activities on behalf of sales managers, etc.
