Job Description
Position Summary
The Executive Administrative Assistant assists the hotel General Managers with secretarial duties, general correspondence, guest relations, and employee relations. This position reports to the General Manager.
The pay range for this position is $26.00 to $32.00 per hour; actual pay will be dependent on budget and experience.

Essential Job Functions/Key Job Responsibilities
• Complete all secretarial and administrative duties for the General Manager, including managing correspondence, executive office files, trace files, follow-up activities, telephone inquiries, and special projects
• Oversee the guest amenity, thank you letter, and gift certificate programs, including coordinating paperwork and personal notes, maintaining return guest amenity files, and processing, filing, and issuing complimentary and paid certificates
• Act as a liaison between the General Manager, guests, employees, vendors, and internal departments, responding to inquiries and ensuring timely follow-up and communication
• Manage guest communications and correspondence related to special events, road closures, amenities, operational changes, and other information that may impact the guest experience
• Assist with guest relations and maintain guest comment card correspondence and online guest feedback, including TripAdvisor, WideWail, Expedia, and Qualtrics survey responses
• Administer employee mention recognition program from guest surveys
• Assist with daily guest room blocking in coordination with the Front Office Manager and support other departments as business volumes and staffing levels demand
• Manage incoming and outgoing correspondence and packages, including processing packages with TripHero and ensuring outgoing correspondence is properly routed and received by the appropriate departments
• Assist with administrative and financial processes, including Esker and Checkbook processing, corporate credit card expense processing through Concur, and related documentation and follow-up
• Own and maintain the Lounge music schedule, including coordinating and communicating with musicians, managing scheduling needs, and assisting with musician billing
• Participate in the entertainment of prospective clients and assist with special events and other activities as directed by the General Manager
• Maintain a neat, organized, and professional executive office; purchase office supplies and equipment; and establish and maintain appropriate administrative files and records
• Handle special projects and assignments as required by the General Manager while maintaining a high level of confidentiality, professionalism, organization, and attention to detail
• Other duties as assigned
Qualifications
Education & Experience
• College degree preferred
• 3 years’ experience as an Administrative Assistant preferred
• 1 year experience in the hospitality industry preferred
Knowledge, Skills & Abilities
• Proficient knowledge in Microsoft Word, Excel and PowerPoint
• Proficient in English language both verbal and written
• Preferred knowledge of other languages, specifically Spanish
• Excellent customer service skills
• Excellent oral and written communication and organization skills
• Ability to cross collaborate with cross-functional teams, including maintenance, finance, and operations
• Ability to handle confidential information
• Ability to be on a computer and phone a majority of the workday
• Ability to solve complex situations and scenarios
• Strong interpersonal skills and possession of a full understanding of professional business ethics with team and guests
• Ability to work well under deadline pressure and to quickly adapt to constant change
• Strong attention to detail and ability to manage multiple administrative, financial, guest relations, and operational responsibilities simultaneously
• Ability to effectively communicate with internal teams, guests, vendors, and external partners
Additional Information
Work Environment & Physical Demands
• Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements.
• No adverse or hazardous conditions.
• Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance.
