Job Description

Position Summary
The Sales Administrative Manager for the Global Sales team serves as the operational and strategic backbone of the department—driving execution, accountability, and alignment between all interdisciplinary aspects of our markets and with the rest Aspen One. As the key integrator between the VP of Global Sales, internal departments, and external partners throughout the community, this role has direct influence over the team’s effectiveness, resource allocation, and overall performance. This position reports to the VP of Global Sales.

The budgeted salary range for this position is $65,000 to $80,000. Actual pay will be dependent on budget and experience; all our salaried roles are eligible for bonus.

Essential Job Functions

  • Oversee and direct the comprehensive global sales operating budget, including group, local, and administrative functions.
  • Approve and manage invoices, monthly forecasts, and budget reallocations to support departmental objectives.
  • Lead financial oversight of event, promotional, and gifting budgets to ensure ROI and strategic alignment.
  • Plan and execute community events designed to drive business returns for Aspen One.
  • Develop and implement sales tools, templates, and resources to optimize performance and consistency.
  • Lead creation of strategic decks, presentations, and communications for executive and stakeholder alignment.
  • Direct coordination between sales and marketing, ensuring clear agendas, deliverables, and timelines.
  • Oversee promotional catalog development, vendor management, payments, production quality, and global distribution.
  • Serve as the central communications authority for Global Sales, driving clarity, accountability, and alignment.
  • Lead interdepartmental collaboration by defining priorities, assigning ownership, and ensuring follow-through.
  • Design and enforce systems to maintain organized, compliant, and accessible contracts and sales documentation.
  • Evaluate, enhance, and standardize operational processes to maximize efficiency and accuracy.
  • Other duties as assigned.

Qualifications

Education & Experience Requirements

  • Minimum of 3 years of related experience required
  • College degree preferred

Knowledge, Skills & Abilities

  • Excellent verbal and written communication skills in English and Spanish
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to function well in a high-paced and at times stressful environment
  • Proficient with Microsoft Office Suite or related software
  • Ability to quickly adapt to changes in processes, customer flow, environments, and tasks
  • Ability to be a team player, working collaboratively with others
  • Serves as an empowered ambassador of the Global Sales leadership team—driving influence, clarity, and results across all levels of the organization
  • Strong financial acumen with experience managing complex, multi-channel budgets.
  • Excellent organizational and project management skills, with ability to prioritize across multiple initiatives
  • Exceptional communication and presentation abilities for executive and cross-functional audiences
  • Proficiency in process improvement and systems implementation to drive operational excellence
  • Strategic relationship-building and vendor negotiation skills aligned with brand and business objectives

Additional Information

Work Environment & Physical Demands  

  • Ability to stand, type, and sit at desk/computer for most of the work shift executive repetitive movements
  • No adverse or hazardous conditions
  • Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance
