Job Description
Summary
The Front Desk Agent will welcome and register guests, present statements, check credit and collect payment for departing guests. Shifts run from 7am to 3:30 pm, 3pm to 11:30pm or 11pm to 7am. Must be available to work any shift, 5 days a week.

Essential Job Functions
• Display at all times a friendly, courteous and professional manner in all dealings with guests and employees,
• Maintain positive working culture, and professional relationships with all personnel
• Perform job responsibilities in line with relevant Forbes 5* Standards
• Welcome and register hotel guests
• Check guests out of hotel in accordance with procedures
• Work closely with the Bellman to coordinate the smooth and efficient handling of guest luggage on both check in and check out
• Manage guest billing, and ensure that guest folios are correctly settled prior to departure
• Maintain and update the Hotels’ Guest History
• Coordinate with other departments’ daily needs or special requirements for all hotel guests
• Record any guest complaints or problems and notify the appropriate individuals
• Select and block rooms for arriving guests, book same day reservations, pre-register guests as required, escort guests to their rooms and notify Managers of arrivals per request
• Be familiar with room and rate availability for current and future dates
• Accept reservations, changes and cancellations in accordance with procedures in the absence of reservation personnel
• Familiar with PBX & Night Audit shift responsibilities, and cover shifts as required
• Relieve Concierge Desk when needed and have knowledge of guest related concierge duties
• Distribute hotel keys as necessary
• Be knowledgeable about all group and catering events and locations in the hotel
• Understand the Hotel Management System as it relates to with check in and check out procedures
• Run daily reports as necessary
• Make change, issue safety deposit boxes, post charges, reconcile daily work and make deposits in accordance with established procedures
• Responsible for maintaining cash bank and for daily settling of cash bank
• Make Manager aware of guest’s comments and complaints
• Report to work in a neatly groomed and acceptable manner as outlined in the employee handbook
• Report to shift on time
• Comply with all policies and procedures for the Front Office Department, The Little Nell, and Aspen One
• Is familiar with hotel fire and safety procedures
• Assist in emergency and security procedures as directed by management
• Complete tasks and projects delegated by your manager and assist other departments as business volumes and staff levels demand
Qualifications
• College degree preferred
• Previous front desk experience helpful
• Excellent written and spoken English
Additional Information
Supervision Given and Received
Given: This position has no supervisory responsibilities.
Received: Works under direct supervision of the Front Office Manager. Tasks are assigned according to specific procedures, and work is checked frequently. Instruction, advice and assistance are readily available.
Work Environment and Physical Demands
• Ability to stand, walk or be on your feet for extended periods of time. Kneeling and bending may be required
• Regularly work indoors with no adverse conditions. Some positions require exposure to outdoor elements or a combination of both indoors and outdoors and may be required to walk on slippery and uneven surfaces
• Must be able to occasionally lift, push or pull up to 50 lbs. individually or with assistance (weight limits can vary according to position, but no more than 50)
