Job Description

Job Summary

Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing the department’s general administrative activities. This position will be based at the Employee Housing office at the Club Commons in Snowmass Village.

Essential Job Functions

  • Greet, assist and direct guests at reception area
  • Answer and direct phone calls
  • Handle administrative and clerical tasks as needed
  • Reads and routes incoming mail 
  • Composes and types routine correspondence
  • Organizes and maintains file system, and files correspondence and other records
  • Coordinates manager's schedule and makes appointments
  • Conducts research, and compiles and types reports
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings
  • Makes copies of correspondence or other printed materials
  • Prepares outgoing mail and correspondence, including e-mail and faxes
  • Orders and maintains supplies, and arranges for equipment maintenance
  • Other duties as assigned

Qualifications

  • Must be 18 years of age or older
  • High School Diploma or GED required
  • Minimum one year of experience in a clerical/administrative support position
  • Strong phone and computer skills; proficiency in Microsoft Word, Excel, Outlook and PowerPoint
  • Must be fluent in English; Spanish proficiency preferred
  • Basic accounting skills
  • Valid, current and unrestricted Driver’s License required for certain positions

Additional Information

Supervision given and received  
Supervision Given: This position has no supervisory responsibilities.    
Supervision Received: Works under direct supervision of the Housing Operations Manager. Tasks are assigned according to specific procedures, and work is checked frequently. Instruction, advice and assistance are readily available.   

Work Environment and physical demands 
Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements  
No adverse or hazardous conditions 
Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance (weight limits can vary according to position, but no more than 50)
