ASC also operates the rental & retail stores of Four Mountain Sports as well as the Award-winning Ski & Snowboard Schools of Aspen Snowmass.

Job Description

The Food and Beverage Admin Coordinator is responsible for general assistance in all administrative and guest relations related duties for Mountain Dining and ASC Catering.
  
Essential Job Functions
•    Supports Mountain Dining management and ASC Catering teams in all administrative needs
•    Greets, assists and directs guests, employees and vendors
•    Screens/routes incoming calls and correspondences including mail, email and faxes; responding independently when possible
•    Creates and maintains recordkeeping, database and spreadsheet files for ASC Catering and Mountain Dining
•    Communicates daily with catering managers and GMs, ensuring any urgent requests or issues are resolved
•    Assists in F&B Outlets during peak periods or staff shortages as needed 
•    Creates and distributes all correspondence for on-mountain restaurants and catering: signs, menus, tasting notes, letters, memos, promotional mailings, and flyers  
•    Assists with the development of ASC Catering and Mountain Dining marketing programs, including collateral and website content
•    Partners with Director of Catering to promote business and stimulate sales through local contacts
•    Works with Catering Event Manager to coordinate staff uniforms, nametags, and dry cleaning. Maintains inventory and ordering new items as needed. 
•    Works with Catering Event Manager to coordinate rental equipment including determining the needs list, ordering rentals, and coordinating drop off and pick up times for events
•    Manages catering vehicles sign out use and necessary maintenance
•    Oversees the administration and distribution of all event orders 
•    Assists with scheduling FOH staff, check ins/out for larger events (be on site for event), assist Catering Event Manager with staff transportation coordination and vehicles. 
•    Assists with the organization of the catering storage units (as needed)
•    Maintains office equipment, coordinates IT needs, orders department supplies and arranges for equipment maintenance
•    Manages expense reports; codes, signs and submits invoices (as required)
•    Maintain department operations manuals, safety and training materials (as required)

Qualifications

•    Must be 18 years or older
•    High school diploma or equivalent required
•    2 years previous administrative experience required 
•    Strong Microsoft Office skills required, including Excel, Word, and Outlook
•    Strong typing skills and excellent telephone skills required 
•    College degree preferred
•    2 years previous catering and hospitality sales experience preferred 
•    Familiarity of ASC’s on-mountain restaurants and/or ASC Catering operations is an advantage
•    Ability to ski or ride at an intermediate level is required for employees of ski in/ski out restaurants

Supervision Given and Received:
Supervision Given: This position has no supervisory responsibilities.
Supervision Received: Works under general supervision of Director of Catering and Events. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed. Work is reviewed on demand or during scheduled check-ins. 

Work Environment and Physical Demands:
Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements  
Ability to reach, crouch, kneel, stand, walk or be on your feet for extended periods of time 
Occasionally work in wet, hot and humid conditions for extended periods of time and may be required to walk on slippery and uneven surfaces 
Must be able to occasionally lift, push or pull up to 50 lbs. individually or with assistance (weight limits can vary according to position, but no more than 50)
