Job Description

Position Summary
Handles daily administrative duties for Food and Beverage Division.  Oversees daily office operations.  Assists with training and operational supervision.  Develops Hostess team.  Ensures effective communication in food and beverage division.

Essential Functions of the Job
•    Communicates daily with F&B Director, ensuring any urgent requests or issues are brought to light immediately.
•    Communicates daily with F/B dept heads on operational needs.
•    Maintains daily reader board in Food and Beverage
•    Maintains Food and Beverage 90 day calendar
•    Maintains Food and Beverage Check Book
•    Answers phones, transfers to appropriate extension or takes messages, handles guest or vendor requests when appropriate.
•    Is able to supervise outlet hostess team.
•    Types all correspondence for the division, including daily reader board, menus,
Letters, memos.
•    Organize and maintain all F&B files, both computerized and hard copies. 
•    Maintains current mailing lists
•    Maintains office premise in a neat and orderly manner
•    Orders office supplies based on par levels and special needs
•    Manages mail for Division Head, including sorting daily “in” box and “out” box, handling samples and returns, and all other mail related duties.
•    Reviews invoices for Division Head approval
•    Takes and distributes weekly divisional meeting minutes
•    Maintains office equipment, arranges service as needed
•    Maintain personnel files for division managers, including preparing PAF’s for  Division Head’s signature
•    Adheres to confidentiality agreement.

Additional Job Duties
•    Notarizes documents as needed.
•    Assist in sourcing products for division.
•    Run errands off property as requested by Division Head.
•    Handles small catering functions as requested.
•    Assists in F&B outlets during peak periods or staff shortages as requested
•    Understand supervisory duties in all F/B areas
•    Act as a supervisor in all F/B areas when needed.
•    Assists Division Head with projects as requested
•    Is familiar with and adheres to hotel policies and procedures.

Qualifications

•    High school diploma or equivalent
•    College degree preferred
•    Food and Beverage operational experience preferred
•    Strong typing skills, minimum 50 wpm.
•    Working knowledge of Microsoft Word and Excel
•    Excellent phone skills
•    Reads, writes and speaks English fluently
