Job Description

Summary 
Point of contact for all Owners in regards to their Ownership once they’ve closed on their real estate purchase.

Essential Job Functions
•    Communicate with owners on all ownership related areas in regards to their assigned weeks, managing their goals and rental opportunities.
•    Must understand the nightly rental rate structure
•    Educate Owners about the rotation system, specific to their assigned Owner Letter Number
•    Conduct twice yearly (January – March & July – September) Owner selections of time for their Planned Vacation Weeks (PVW) (2 per interest owned per season) and SANS.
•    Create selection packets, specific to each Owner
•    Manage goals and expectations through personal interaction with each Owner
•    Track responses and completed forms
•    Ensure forms are organized per the rotation priority order for the specific season
•    Process assignments of time per the completed forms
•    Confirm weeks with all Owners and provide clarity on the waitlisted weeks
•    Detail Owner placement in the rental queue, if applicable
•    Ensure forms are organized per the rotation priority order for the specific season (different from Planned Vacation Week rotation/priority order
•    Process assignments of time per the completed form
•    Confirm dates with all Owners and provide clarity on the waitlisted weeks
•    Work to encourage Owner to Owner trades across and within Seasons
•    Facilitate Owner to Owner rentals of PVW time
•    Actively work with Owners to increase usage of the property
•    Enter all reservations into SMS as soon as they are confirmed and update reservations as necessary.
 Actively work on behalf of the Owners who have rent released their time. 
•    Reach out to Owners who may rent release in future seasons to assist with the advanced booking process
•    Welcome Letter
•    Homeowner Association Information: Legal Documents, Board Member Contacts, Meeting Minutes, Meeting Schedule & Agenda, Budgets, Financial Statements, Rotation Charts, Floor Plans, Forms, Calendars; etc.
•    Maintain Owner Website information:
•    Act as a liaison between the Owners and all departments to ensure any changes or updates are communicated regarding upcoming Owner reservations
•    Perform inspections of residences prior to arrival to check on special requests from Owners
•    Meet each Owner upon arrival and bid farewell at departure
•    Make appropriate Department Heads aware of Owner’s comments, suggestions and complaints particular to their department
•    Work closely with all staff members to ensure operation of the property is of the highest quality
•    Track Owner reservation type/usage
•    Assist in other departments when the demand is high
•    Maintain a full understanding of Owner requests and ensure that all employees are aware of each request
•    Owners Lounge (during breakfast and après)
•    Front Door (arrivals & departures)
•    Main lobby level desk (when assigned)
•    Return all calls and emails within 24 hours of receipt
•    Email weekly rental reports (historical & future) to Owner
•    Maintain reservation spreadsheets to match SMS reservations
•    Create and maintain departmental policies & procedures and checklists
•    Conduct oneself in an ethical and exemplary manner, which encourages like manners of conduct.
•    Manager on Duty (one day per week)

Additional Job Functions
•    Report to work in a neatly groomed and acceptable manner as outlined in the employee handbook.
•    Report to work on time.
•    Comply with all policies and procedures for the Residences at The Little Nell, and Aspen Skiing Company.
•    Must be familiar with hotel fire and safety procedures. Assist in emergency and security procedures as directed by management.
 

Qualifications

•    College degree preferred
•    Excellent working knowledge of Excel
•    Analytical skills
•    Previous hospitality industry experience and exposure.
•    Reservations Agent knowledge would be beneficial
•    Strong typing skills
•    Computer knowledge required, specifically Microsoft Word, Excel and Outlook.
