Job Description

Position Summary & Objective
The Assistant Front Desk Manager will provide support to the Front Desk and Guest Services departments and will ensure smooth operation of these areas. Welcome guests to the hotel, check guests in and out, coordinate hotel transportation, handle guest complaints, assist other departments as needed.  Act as interface between guests and hotel.  

Service Standards 
Eye contact should be made at a distance of no less than 10 feet from every guest.
A genuine smile should be offered at a distance of no less than 5 feet from every guest.
Employees should build rapport with guests during any conversation, if the guest responds to the initial statement with a conversational demeanor.
Guest last name is used effectively, but discreetly, as a signal of recognition as least once and not more than twice during any conversation with guests.
Before concluding conversations, the guest is verbally offered additional assistance with a statement relevant to the guest’s individual needs.

Essential Functions of the Job
Monitor and coach hotel policies and standards at the Front Desk and in Guest Services ensuring the best experience for every guest. 
Hire and train employees.
Work with hotel departments, and establishments with regard to groups, VIP’s and individual guests to ensure an excellent experience for the guest.
Manage and maintain working environment and administration for staff.
Handle guest complaints/problems ensuring a timely result to the satisfaction of all parties.
Perform as Manager on Duty as required.
Deals with all guest related issues as well as emergency and security situations in all areas of the hotel. 
Maintain to a high and safe standard the garage environment and the hotel vehicles.
Assists the Front Desk Manager in the following duties:
Daily Operations Report
Future room blocking
Lift ticket ordering
Group billing
Management of ALICE system 
Log and search Lost & Found items
Incident Reports
Departmental scheduling to meet business needs.
Staff reviewing, development and motivation.
Ensure effective communication between the front desk and guest services in accordance with defined procedures and policies.
Review guest arrivals/ departures and identify specific requirements as required.
Organize airport transportation for guests and groups prior to arrival.
Perform regular vehicle inspection to ensure cleanliness inside and out.
Ensure regular vehicle maintenance is up to date.
Support other hotel departments as needed.

Additional Information

Additional Job Duties 
Ensure that your Manager is aware of guest comments and concerns. 
Report to shift on time.
Treat others as you would expect to be treated. Be courteous to guests and co-workers. 
Comply with all policies and procedures for the Front Office Department, Limelight Hotel, and Aspen Skiing Company.
Be familiar with hotel fire and safety procedures. Assist in the event of an emergency and/or security event as directed by management.
Complete tasks and projects delegated by your manager and assist other departments as business volumes and staff levels demand.

Working Conditions and Physical Requirements 
Indoors v Outdoors – Indoors 70% of the time, Outdoors 30% of the time.
Standing v Sitting - Standing 100% of the time
Work Environment - Working as part of a team; working AM, PM & overnight shifts. Working holidays. Overtime may be required due to business needs.
Driving in all weather conditions.
Physical Requirements – Ability to push/pull & carry luggage and other items up to 50lbs.
Constant reaching, handling, feeling, talking, hearing and seeing (near, far, depth perception, color vision, and field of vision). Occasional climbing, balancing, stooping, kneeling, crouching, tasting, smelling. Dealing with noise of lobby area as well as phones

Education, License/Certifications & Skills 
College degree preferred.
Ability to multi task and prioritize.
Competent with computer programs such as Microsoft Office.
Valid Colorado driver’s license.

Language Skills 
Excellent written and spoken English.

Experience 
Prior guest service experience is required.
Experience supervising a team is preferred.

Grooming 
All employees must maintain a neat, clean and well-groomed appearance per Aspen Skiing Company Hospitality standards.
