Job Description

Position Summary
The Front Desk Agent will be responsible of welcoming and registering guests, which includes verification of their personal information and form of payment, as well as preparing final bills, and settling outstanding balances. This includes but is not limited to check-ins, check-outs, and any other procedure related to the guest stay, as well as the functionality of the Front Desk in its entirety.
Shifts run from 7:00 am to 3:30 pm and from 3:00 pm to 11:30 pm. Agents must be available to work either shift, 5 days a week. Overnight shift coverage (11pm -7am) may be required.
 
Essential Functions of the Job
• Display at all times a friendly, courteous and professional manner in all dealings with guests and employees
• Maintain a proper presence and appearance at the desk at all times
• Must have good rapport with all departments and staff members
• Welcome and register hotel guests (Check-in) in accordance with hotel procedures and Forbes and AAA Standards (5 Stars 5 Diamonds)
• Check guests out of hotel in accordance with hotel procedures and Forbes and AAA Standards (5 Stars 5 diamonds)
• Handle Guest billing
• Work closely with the Bellman to coordinate the smooth and efficient handling of guest luggage on both check in and check out
• Clear all “non-zero” balances
• Maintain and update the Hotels’ Guest History
• Coordinate with other departments’ daily needs or special requirements for all hotel guests
• Record any guest complaints or problems and notify the appropriate individuals
• Select and block rooms for arriving guests, book same day reservations, pre-register guests as required, escort guests to their rooms and notify Managers of arrivals per request
• Be familiar with room and rate availability for current and future dates
• Accept reservations, changes and cancellations in accordance with procedures in the absence of reservation personnel
• Be able to work PBX shifts
• Familiar with ALICE system (Transportation, Texting, Concierge, Lost & Found)
• Log and Search Lost & Found items (ALICE)
• Be able to work overnight shifts in order to act as relief back-up staff or to provide overnight coverage as necessary
• Relieve Concierge Desk when needed and have knowledge of guest related concierge duties
• Make rooms keys
• Be knowledgeable about all group and catering events and their locations in the hotel
• Understand the Hotel Management System as it relates to with check in and check out procedures
• Run daily reports as necessary
• Issue safety deposit boxes for INH guests
• Make change, cash checks, post charges, reconcile daily work and make deposits in accordance with established procedures
• Maintain individual cash bank and reconcile daily
 
Additional Job Duties
• Make Manager aware of guest’s comments and complaints
• Report to work in a neatly groomed and acceptable manner as outlined in the employee handbook
• Report to shift on time
• Comply with all policies and procedures for the Front Office Department, The Little Nell, and Aspen Skiing Company
• Be familiar with hotel fire and safety procedures
• Assist in emergency and security procedures as directed by management
• Complete tasks and projects delegated by your manager and assist other departments as business volumes and staff levels demand

Qualifications

• College degree preferred
• Previous front desk experience helpful
• Excellent written and spoken English
