Job Description

  • Create and maintain detailed spend plan(s) and budget(s) for project funding. 
  • Assist with budget development and coordination tasks, billing and revenue collections from participating jurisdictions as well as reconciliation of revenues and expenditures. 
  • Perform ongoing financial and progress reporting as required. 
  • Provide analysis and summary of financial and administrative project status as requested. 
  • Create and submit purchase requisition packets for all vendor procurements of labor, equipment, and miscellaneous materials. 
  • Verify and approve vendor invoices for payment. 
  • Collect and record personnel timesheets and tasklogs. 
  • Assist in development of Project Applications and Project Management Plans for procurement of project funding. 
  • Assist in preparation of policy, process and procedural documentation, business process engineering and flow diagrams. 
  • Assist in development and maintenance of ongoing project plans and timelines documentation of tasks and deliverables. 
  • Assist in creation of and revisions to various presentations and documents of a business, technical, or administrative nature. 
  • Provide technical and analytical support to Change Advisory Boards established for ICI applications and systems. 
  • Organize and distribute meeting materials, logistics information, and summary documentation.

Qualifications

Education and Experience

  • The ideal candidate must have a Bachelor’s degree from an accredited university.
  • The ideal candidate will have 1-3 years of direct grants experience.
  • The ideal candidate will have 3-5 years of professional work experience in a large organization.

Competencies, Knowledge, Skills and Abilities

  • Experience in managing and/or administering federal and state grants.
  • Knowledge of federal grant reporting requirements.
  • Ability to plan and execute processes within a large organization.
  • Highly organized with a proven ability to work well under pressure and meet deadlines.
  • Ability to communicate effectively to a wide range of audiences and confidence to operate at senior levels of City government.
  • Familiarity with the functions and operating structures of municipal government.
  • Facility with data collection and analysis.
  • Understanding of the fundamentals of budgeting and ability to perform financial analyses.
