Job Description

We are recruiting for an exciting opportunity for a PA & Office Manager. The PA & Office Manager will be accountable for providing PA support to the UK Manufacturing Director and the UK Breweries and Cidery Senior Management Team, plus the management of all administrative and ancillary services at the Griffin Brewery site.

Key Accountabilities

The PA & Office Manager is responsible for the following key outputs and accountabilities

PA Support

  • Provide PA support to Manufacturing Director, including diary management and expense claim administration
  • Coordinate travel and accommodation for the UK Manufacturing Director and the UK Breweries and Cidery Senior Management team
  • Create, analyse and present data as required for ad hoc reports/presentations
  • Arrange meetings, including room bookings, travel, accommodation, hospitality etc as required
  • Ensure that all pre and post meeting documents are provided in due time
  • Take minutes of key meetings, ensuring minutes and actions are circulated promptly to attendees
  • Prepare and support with the presentation of Town Hall / Aligned Leaders Events and other functions by preparing any materials required, hosting via Teams or appropriate mechanism.  Capture any questions and ensure that any actions are closed out
  • Assist with the development of induction programmes for all new senior members of the manufacturing team
  • Maintain team vacancy list linked to HR

Reception – Griffin Brewery

  • Manage the Reception Team
  • Specify service standards for the greeting of visitors, handling of telephone calls, receipt of parcels/deliveries etc and agree these with internal customers.
  • Ensure achievement/delivery of service standards through good management.
  • Ensure the Reception area portrays the correct corporate image. This includes the updating of video messages, maintenance of branded product displays and industry awards, and ensuring that the Reception Team are both dressed appropriately and deliver the correct visitor experience
  • Effectively manage and control costs, ensuring budgets are achieved
  • Keep up to date with any significant changes within the business, especially personnel – promotions, leavers, joiners, moves etc – to ensure visitors, calls and parcels/mail are correctly handled

Attendance system - Griffin Brewery

  • Take full control and management of the attendance system used to record the arrival and departures of both visitors and colleagues
  • Create accounts for new joiners and delete accounts of leavers etc
  • Produce regular and ad hoc reports for management team as required

Security/Access Card system – Griffin Brewery

  • Take full control and management of the security card system used to issue security/access passes to colleagues and contractors
  • Manage all requests for new security/access cards, ensuring correct approvals are in place and that both the relevant type of card is issued, and the correct access permissions are granted
  • Regularly review security/access cards issued, updating permissions, or deleting accounts as required using starter/leaver/mover information from HR Operations
  • Produce regular and ad hoc reports for management team as required
  • Liaise with service provider to acquire additional blank security access cards and liaise with printers to add relevant logos prior to issue to colleagues and/or contractors
  • Liaise with service provider to fix software faults or for software update

Experience required

  • Previous experience of providing professional PA support to senior managers, preferably gained within a multinational company
  • Previous office management experience
