Job Description

Job Title: Administrative Assistant 

Location: Philadelphia PA

Duration: 6 months

  • Schedules appointments, gives information to callers, and takes dictation.
  • Composes memos, transcribes notes, and researches and creates presentations.
  • Generates reports, handles multiple projects, and prepares and monitors invoices and expense reports.
  • May assist with compiling and developing the annual budget.
  • Requires a high school diploma with 0-2 years of experience in the field or in a related area.
  • Has knowledge of commonly-used concepts, practices, and procedures within a particular field. Relies on instructions and pre-established guidelines to perform the functions of the job. Works under immediate supervision. Typically reports to a supervisor or manager.
  • Provides administrative and clerical support including correspondence, typing, filing, research, and various projects.
  • Help co-ordinate office meetings and large internal/customer events including customer/prospect meetings and product demonstrations, all-hands meetings, travel planning, meal planning, etc.
  • Travel to Denver office or other customer location for large event logistics and preparation as needed.
  • Practices good judgment, discretion, and confidentiality of sensitive information regarding department activities.
  • Works collaboratively with other executive admins in Philadelphia and also in Denver to learn best practices and coordinate for ease.
  • Creates intricate spreadsheets, Word documents, and/or PowerPoint presentations.
  • Screens and directs incoming phone calls, customer requests.
