Job Description

Who You’ll Work With

In this role, you will report to the Payroll Manager and work closely with the Global Finance and GL Accounting teams to ensure seamless financial reporting. You’ll act as a key partner to People Operations (HR) and Benefits/Equity specialists to sync employee lifecycle changes, while managing day-to-day relationships with our external payroll providers across the US and APAC. Additionally, you will be a direct resource for our 2,500+ employees, providing timely support for their payroll inquiries and collaborating with Internal Auditors to maintain rigorous SOX compliance.

What You’ll Do

You will be in charge of the bi weekly multistate payroll Administration for 2500 employees based in more than 40 states.You understand thoroughly the entire payroll cycle and the importance of accurate and timely processing of the payroll and taxes in compliance with the state legislation by supporting the US Payroll team:

Per pay period / US:

  • Replying to employees’ queries raised on our CRM according to our SLA and standard format.
  • Taking appropriate actions on employee’s queries liaising with the US / Global team when required.
  • Logging in the Global mail tracker, all communications addressed to the US Payroll team.
  • Taking relevant actions on the post notably raised cases to our US payroll partner.
  • Escalating any overdue liability
  • Following up and coordinating with the relevant stakeholders.

Per pay period / APAC:

  • Taking ownership of the payroll cycle from input to output with internal and external stakeholders to ensure payroll delivery on time and accurate.
  • Managing any requested off cycles and related payment instructions
  • Providing support to any requested audit
  • Reconciling benefits to payroll
  • Liaising with the payroll partner on a regular basis to sort out any issue, questions about the payroll
  • Escalating any risks to your manager
  • By posting an accurate general ledger and answer to any clarifications requested by the Finance department
  • By performing ad hoc reports to support the business
  • By answering queries from Payroll internal and external stakeholders, as well as collaborating with them for a smoother payroll
  • by participating to any payroll projects such as acquisitions, merges, divestitures

Per year

  • Reconciling benefits, earnings and equity in a timely manner
  • Preparing agreed off cycles

You will maintain payroll and tax compliance by:

  • Preparing quarterly SOX reviews
  • Applying SOX audit recommendations
  • Attending country specific trainings provided by the payroll partner

You will answer Employees and payroll stakeholders ´s enquiries

  • Using our CRM tool following the agreed SLAs
  • In line with Arista communication standards

You will participate to the performance of the payroll partners

  • By understanding the expectations of the current solution
  • By providing regular feedback to your manager on the partners performance and relationship
  • By suggesting areas of improvements

You will be part of a global team by:

  • Documenting and updating global payroll processes
  • Identifying areas of improvement 
  • Tracking KPIs to monitor performance
  • Sharing knowledge and best practices
  • Backing up other country payrolls when needed 
  • Attending Arista trainings
  • Travelling when required 

Qualifications

  • You have proven record of 5 years minimum of managing International multistate payrolls, in house and outsourced.
  • You are very familiar with payroll accounting as well as Equity and benefits management.
  • You maintain a high degree of accuracy with minimal errors.
  • You proactively implement measures to validate your work.
  • You can work in English as well in another country language (or more).
  • You have worked with a payroll and a HR softwares.
  • You feel comfortable using Microsoft Excel and Power point.
  • You are self-organized and know how to manage your time to reach the objectives.
  • You are rigorous and autonomous. 
  • You are able to work under pressure.
  • You are a team player and like to give a hand to your colleagues.
