Job Description

The Subcontract Administrator will assist the Subcontract team, in close coordination with the Tender team, during tender phase, or Technical Office team and Project Control team and other project department during the execution, in any activities relevant to Procurement of Subcontract Works and Management of Subcontractors (e.g. preparation of the BOQ and scope of works of the subcontracts, analyse the rates and man/hours of the Subcontractors' proposals, analyse and comment on the Subcontractor's Progress Payment Certificate, quantum calculation and verification of any claims or variations, support in the preparation of meeting with Subcontractors, etc.).

What you will need to do:

  • Assist the Technical Office team in the preparation of the Bill of Quantities for the subcontracting packages.
  • Assist the Technical Office and Subcontract teams with the review and modification of BOQ's & scope of works for the subcontract agreements, including the review of the Materials Take Off (MTO) and of the Man hours.
  • Maintains accurate records to help resolve contractual conflicts and disputed claims with subcontractors.
  • Expedite and ensure timely receipt of payment statements, relevant supporting documentations and other deliverables from Subcontractors.
  • Maintain proper filing of the Subcontractor accounting documents in accordance with the relevant procedure.
  • Monitor progress on site and ensure that where applicable claims for recovery of loss and expense are submitted timeously and agreed with client, liaising with Global Subcontract Manager / Contract Manager and referring to the appropriate conditions of contract.
  • Assist the Subcontract Engineer in the evaluation and verification of request for extra works, new rates and prices and any quantum claims submitted by the Subcontractors.
  • Support the Subcontract Engineer in collecting and analysing information relevant to the performance of Subcontractors.
  • Assist the Subcontract Engineer in the close out checklist, including monitor progress of Subcontractors on Punch List items.
  • Adheres to Company guidelines and work in full compliance with approved procedures in accordance with Archirodon IMS System.

What you will need to have:

  • BSC Engineering University degree or Diploma in relevant field (Civil / Mechanical / Electrical or Instrumentation).
  • Minimum 5 years of experience as Subcontract Administrator and/or Quantity Surveyor and/or Estimator.
  • Experience working with major EPC contractors.
  • Experience with international standard of Method of Measurement such as the Civil Engineering Standard Method of Measurement (CESMM 3 or 4), the New Rules of Measurement (NRM2), etc.
  • Experience negotiating quantities and rates with clients or subcontractors.
  • Able to handle multiple tasks with minimum supervision.
  • Capability to perform under stressful situations.
  • Effective and efficient verbal and written communication skills.
  • Strong expertise in excel, including advanced searching formulas and pivot tables.
  • Good knowledge of ERP software and MS office.
  • Fluent in English (oral and written).
