Job Description
Context
The purpose of the Marketing Business Unit is to sustainably maximize cash flows from the marketing of Anglo American products, services, and complementary third-party commodities. In support of this, we have set an ambition to deliver a significant uplift in EBIT by 2030.
As the business environment grows increasingly complex, this role plays a critical part in ensuring agility and robust processes are in place to prevent value leakage and optimize third-party trading and equity sales, ultimately contributing to value maximization.
Purpose
Ensure that appropriate contracts are in place and monitored for all commercial activities across commodities, specifically steelmaking and thermal coal equity sales. Serve as a key control point through first- and second-line governance by validating and confirming physical trades, ensuring data accuracy in the trading system—critical for the integrity of commercial invoicing.
Operate within a business environment of increasing complexity, requiring agility and robust processes to prevent value leakage and optimize third-party trading and equity sales for value maximization.
Key Responsibilities include:
Deals Validation
- Ensure data accuracy in the system through timely validation of Sales Confirmations which directly impacts the accuracy of commercial invoices
Contract Preparation and Execution
- Interface with the Front Office to understand and analyse key contractual terms and conditions
- Identify and evaluate potential mismatches between purchase and sales contracts terms, and proactively highlight these to Front Office for their attention
- Collaborate with the Front office to understand their strategies for retaining or optimizing value through such mismatches, and incorporate these considerations into the drafting of contracts to safeguard Anglo’s interest
- Act as a gatekeeper to minimise potential value leakage arising from differing contractual or commercial terms in third-party purchase and sales contracts
- Review and evaluate payment terms in purchase and sales contracts, providing advice on contracts workability to support effective cash flow and working capital management.
- Analyze and identify potential operational risks arising from contractual term differences prior to execution, and propose resolutions to mitigate these risks
- Draft framework agreement, purchase and sales contracts, sales/ contract confirmations
- Submit contracts to counterparties for review and feedback
- Identify and escalate any non-standard deals or contracts terms to relevant stakeholders
- Liaise with counterparties to finalise contract terms, escalating to legal, supporting functions and the Front Office as required.
- Maintain accurate and timely contact information in the trading system
Contract Administration
- Manage communications with both suppliers and customers regarding contract-related matters.
- Track and monitor compliance with all contractual obligations.
- Maintain register of contract work in progress tracking status from confirmation stage to execution
- Oversee the execution of contracts and ensure all contractual documentation is properly filed and stored in the relevant repository.
Contract Reporting
- Prepare and deliver regular and ad hoc reports on outstanding contract status and performance metrics to support operational visibility and decision-making.
Group Governance and Risk Management
- Execute all contract administration activities in alignment with Group Business Integrity and Governance policies.
- Escalate and communicate any contract compliance discrepancies through the appropriate reporting lines.
- Maintain accurate records related to contract administration within the relevant systems.
- Ensure governance compliance by verifying that:
- The relevant credit line has been established by the Front Office,
- All necessary internal control approvals have been obtained, and
- The approved contract is signed prior to shipment execution to avoid credit breaches.
- Manage the contract approval process to ensure timely and accurate submissions within the governance framework.
Process Improvements within the Contracting functions, Systems and Other Projects
- Support the continuous review and enhancement of Standard Operating Procedures (SOPs) to identify opportunities for improvement and efficiency.
- Provide input and assistance in the enhancement of current systems to support contracting operations and controls.
Product Shipment and Logistics (Bulks / Non-Bulks)
- Process all laytime calculations for sales contracts in accordance with contractual terms and industry standards.
- Ensure timely settlement of demurrage and despatch claims with counterparties, minimizing financial exposure and disputes.
- Review shipping documents (e.g., Bills of Lading, NOR, SOF) and voyage reports to validate laytime events and calculations.
- Liaise with internal stakeholders (Front Office, Shipping, Legal, Finance) and external parties (suppliers, customers, shipowners) to resolve discrepancies and negotiate settlements.
- Maintain accurate records of laytime calculations, claims, and settlements in the relevant systems.
- Provide reporting and analysis on demurrage/despatch trends, root causes, and performance metrics.
Qualifications
Role requirements:
- Strong transactional and operational knowledge of international sales operations, including delivery terms and documentation requirements (e.g., Bills of Lading, Charter Party Bills of Lading, and holding certificates).
- Familiarity with port and shipping logistics operations (desirable).
- Excellent written and verbal communication skills.
- Highly proactive with a disciplined and structured approach to work.
- Strong ability to collaborate with multiple stakeholders from diverse backgrounds.
- Self-motivated with the ability to work independently and take initiative.
- Highly organized, with a strong orientation toward workflow coordination and process management.
