Job Description
The Program Assistant will play a key role in supporting the successful implementation of the Integrated Digital Youth Activities-INS and Partnership activities. This position will be key in facilitating the planning, coordination, and operational execution of the activities. The role involves ensuring smooth facilitation of planning sessions, overseeing the logistical coordination of meetings, and fostering effective communication across teams and stakeholders. By working closely with program staff, partners, and stakeholders, the Assistant Program Support Officer will ensure seamless program delivery and continuous improvement, contributing to youth empowerment.
Program Planning and Management:
- Support the planning and organization of program activities, workshops, and training sessions.
- Assist in the day-to-day program implementation of activities and ensure activities are in line with the approved workplan and budget.
- Assist in coordinating logistics for program events, including venue booking, travel arrangements, and material preparation.
- Facilitate communication between program teams, partners, and stakeholders to ensure smooth execution of activities.
- Help develop work plans, schedules, and budgets for program implementation.
- Assist the INS Coach Officers to get the necessary resources and technical support
Program Coordination and Communication:
- Lead coordination of training activities, as well as planning technical and operations field visits from the country office; provide guidance on training coordination.
- Support the YEEPSEA on organizing and facilitating meetings at the national level and city level to hold quarterly, bi-annual and annual review meetings.
- Support the “Vodafone” INS Coach Officers to enhance effective coordination of all consortium members together with the respective technical advisors to ensure the implementation of the work plan.
- Support INS Coach Officers and INS Site staff to assess and identify technical assistance needs with regards to technical skills in close collaboration with respective advisors
- Support coordination with CSOs, INS Coach Officers, communications and M&E team to document lessons learned and success stories, and ensure linkages with knowledge management and other Amref youth projects, as part of an integrated approach
- As the request of supervisor, serve as the liaison person responsible for nurturing partnerships with private partners, government offices and other key partners.
- Assist in preparing and reviewing communication materials, including reports, presentations, and briefing notes.
Program Monitoring and Evaluation:
- Contribute to the preparation and dissemination of internal and external reports and presentation, as well as all deliverables requested by government partners and donors.
- Support program and M&E team to ensure timely reporting of program activities and progress towards higher level goals and objectives per donor requirements and Amref quality standards.
- Document lessons learned and shared with other projects, Amref Country programs and implementing partners;
- Participate in joint supportive supervision visits together with the responsible team.
- Provide general administrative support to the program team, including filing, documentation, and data entry.
- Support in maintaining program databases and ensuring that information is accurate and up to date.
Program Operations:
- Ensure timely and appropriate project expenditures in line with financial plans and efficient use and stewardship of project material sources.
- Provide proactive support to the program team on operations, including supporting all finance, administration and procurement needs of program and technical team; coordinate with operation support team to ensure effective program implementation.
- Coordinate program operation’s needs, in close coordination and collaboration with the administration and logistics officer, in compliance with relevant Amref and USAID regulations
- Facilitate and initiate discussions between program and operations team to proactively address arising matters or bottlenecks.
- Support facilitation of the operations governance meetings and document relevant discussion summaries and share to consortium partners.
Qualifications
Academic and professional Qualifications:
- Bachelor’s degree in Business Management, ICT, Computer Science, Project Management, Economics, Development studies, Social Sciences or related fields.
Required Experiences:
- Fresh graduate and internship experience implementing development programs (e.g., youth development, health, economic empowerment, and education). Experience working in IYA is a plus;
- Experience in project design, project management, training and capacity building.
- Ability to exercise sound judgment and diplomacy, particularly related to negotiation and conflict management in a multi-stakeholder environment is required;
- Ability to travel outside of Addis upon request

- Strong interpersonal communication, presentation, teamwork, and analytical skills;
- Excellent written and oral English and Amharic language and communication skills with a variety of audiences including business, government, the general public and the media;
- Strong IT literacy and skill
