Job Description

Role: The American Montessori Society seeks a highly organized and self-directed Registrar of Credentials & Professional Development to administer the issuance of teaching credentials and transcripts to graduates of AMS-affiliated teacher education programs, and the registration of new adult learners, thereby building the pool of prospective AMS members.

The Registrar provides proactive customer service to AMS-affiliated teacher education programs (TEPs) and their adult learners and graduates while establishing and maintaining complete and accurate records to support AMS-affiliation and related benefits and services. 

The registrar also tracks the records of AMS credentialed teachers, to ensure that they meet the AMS professional development requirement, in order to maintain an active credential.  As a member of the TE department, the Registrar works collaboratively with AMS staff to identify emerging trends in the provision of teacher education services and opportunities to improve and enhance AMS services.

 

Reports To:                 Director of Teacher Education

Supervises:                 Teacher Education Specialist (Affiliation & Registration);  Seasonal Credential Specialist

Works Closely With:  Teacher Education Manager, Administrative Support staff

Worksite:                    Remote (Candidates in NY, NJ, PA, VA, MA, WI, and OH preferred);   Able to work East Coast time zone; Occasional travel post-pandemic

RESPONSIBILITIES

AMS Credentials. Ensure the timely issuance of credential certificates in accordance with policies and procedures established by the Teacher Education department.

1.       Adult Learner Registration. Ensure clarity and consistency in the adult learner registration forms, membership materials, and user-support available on the AMS website, incorporating annual changes and updates as needed.

2.       Payment Processing. Ensure detailed and accurate record-keeping and processing of invoices and payments for all fees related to teacher credential and adult learner registration; troubleshooting as needed. 

3.       Professional Development (PD): Administers credential holders’ submission of PD hours, as it relates to maintaining an active AMS credential.

a.        Approve submitted PD hours

b.        Support Director of Professional Development in communication with AMS credentialed teachers, regarding the status of submission of their PD hours

4.       Teacher Education Administration.

a.       Documentation of the teacher credential and adult learner registration processes to include identifying process improvements and updating procedural changes on a regular basis; Ensure database and document management system are correct through periodic cross-checking.

b.       Guidance and coordination for seasonal staff; triage credential recommendation and adult learner registration processing queues, judging where to best direct seasonal staff.

c.       Collaboration in departmental and organization-wide initiatives to improve administrative processes and information management systems.

d.       Cross-training on other Teacher Education tasks.

5.       Additional responsibilities.

a.       Collaborate with the Teacher Education Manager, the Director of Teacher Education, and the Senior Director of Education & Strategic Initiatives in problem-solving complaints involving teacher education programs, adult learners in process, and/or issuance of AMS credentials.

b.       Write and proofread e-blasts and other communications, including updates to teacher education publications and forms.

c.       Assist as needed with the AMS Annual Conference, cyclical teacher education program events (e.g. preparation for TES Annual Meeting and TEAC meetings), and other tasks as assigned

Qualifications

  • College degree required
  • Registrar or assistant registrar experience in college/university setting
  • Track-record in providing skillful customer service.
  • Well-versed in Microsoft Office (Word, Excel, Outlook); accurate data entry skills.  Excellent communication skills – in person, in writing, and online.
  • Extremely detail-oriented, very organized, and able to meet deadlines
  • Demonstrated self-starter with strong organizational and time management skills, and the ability to multi-task
  • Flexible, personable, and collaborative
  • Fluency in Spanish, Chinese, and/or Korean a plus
  • Occasional weekend availability is required
