    Job Description

    The Administrative Assistant is required to perform a variety of administrative and clerical tasks. In addition, the incumbent will provide support to our Management and Sales team by assisting in daily office needs. The person will report to the Director of Marketing & Customer Experience located at our facility in Cranston, Rhode Island.

    Qualifications

    The Assistant’s responsibilities include but are not limited to:

    • Arrange and manage an active calendar of events for the executive team: schedule meetings; draft agendas; compile and distribute presentation materials; record and distribute action items;
    • Work closely with executive team to ensure action items are completed by required deadlines;
    • Update and circulate various reports;
    • Maintain schedule, gather content, write, and disseminate press releases;
    • Coordinate content and programming of all email marketing campaigns;
    • Assist with budget & billing tracking;
    • Assist with product lifecycle management process;
    • Procure and maintain inventory of marketing materials such as printed literature and promotional items;
    • Conduct regular distributor website audits;
    • Arrange shipment of various documents and materials;
    • Make local hotel accommodations for visitors;
    • Provide additional administrative support to Executive Vice President and Director of Marketing & Customer Experience as needed.

    Additional Information

    • Significant experience as an administrative assistant or support;
    • High level of proficiency in Microsoft Office;
    • Strong Excel skills;
    • Basic knowledge and understanding of HTML/CSS coding;
    • Experience with Campaigner or similar email platform;
    • Expert level of verbal and written communications skills;
    • Knowledge of Spanish (written/verbal); (an asset)
    • Strong organizational skills;
    • Attention to detail;
    • Exceptional time management skills with demonstrated ability to meet deadlines in a fast-paced environment;
    • Ability to work as part of a team or independently;
    • Forward-looking thinker, who actively seeks opportunities and proposes solutions
