Job Description

The Executive Assistant at AIM provides administrative support to key executives, manages travel and entertainment resources, and provides personal support to the owners of the business.  The Executive assistant will report to the Vice President of Operational Excellence.

The main tasks associated with this role fall into three categories:  Administrative Support for Key Executives, Management of Travel and Entertainment Resources, Personal Support for the Main Shareholders:

Administrative Support for Key Executives

  • Prepare correspondence, memos, expense accounts for the President and other members of the senior management team; perform translation as required
  • Act as secretary to the Management Committee:  publishing agendas, minutes, etc.
  • Schedule and plan meetings with customers and other visitors
  • Book travel and entertainment for senior managers
  • Keep executive offices organized (e.g., archiving, filing, etc.)
  • Perform various research according to the needs of management

Management of Travel and Entertainment Resources

  • Plan and manage use and logistics for corporate aircraft (fleet of 4 planes and 1 helicopter), including
  • Understand requirements and needs of various users
  • Coordinate planning with Starlink and pilots and align with owners
  • Communicate itineraries, departure time, etc. to passengers
  • Plan and manage use and logistics related to 30+ hockey tickets and shows at the Bell Center
  • Plan and manage use and logistics related to corporate properties (condos, fishing camp, etc.)
  • Complete reimbursement requests and records related to personal files, corporate properties and other property of the owners

Personal Support for Shareholders

  • Manage personal files and certain events in collaboration with other members of the private staff
  • Provide personalized service as required on request
  • Perform other related duties

Qualifications:

  • College-degree, graduate-degree preferred
  • Minimum of five (5) years of relevant experience in a similar role
  • Experience managing facilities, corporate jets, and/or corporate travel
  • Strong writing skills - in both French and English
  • Good knowledge of Microsoft 365 (Outlook, Word, Excel and PowerPoint)
  • Good knowledge of mobile devices (iPhone, Samsung and tablets)
