Job Description

Job Summary:

American Iron & Metal is in search of a highly independent Administrative Assistant to support our executive team, including the President. The successful incumbent will manage mostly business-related tasks for the team such as creating reports, filing of various documents both electronic and paper, preparation of correspondence to various parties, compilation of various data at the request of the specific executive team, and many other organizational tasks. To be successful in this role, you should have an intermediate understanding of the Microsoft Office Suite, have great problem-solving skills, and have previous experience as an executive or administration assistant.

Responsibilities:

  • Filing and retrieving corporate records, documents, and reports.
  • Researching and conducting data to prepare documents for review and presentation by boards of directors, committees, and executives.
  • Having up to date knowledge of our commodity pricing
  • Providing pricing information to our traders upon request,
  • Helping prepare for meetings.
  • Accurately recording minutes from meetings.
  • Using various software, including word processing, spreadsheets, databases, and presentation software.
  • Reading and analyzing incoming memos, submissions, and distributing them as needed.
  • Making travel arrangements for executives.
  • Performing office duties that include ordering supplies and managing a records database.
  • Running errands ass reqiured
  • Other duties will apply

Qualifications

  • Proven experience as an executive assistant or other relevant administrative support experience.
  • Some College or University with a focus on Administration is required
  • Bilingual in French & English is considered an asset
  • In-depth understanding of entire MS Office suite.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills.
  • Some knowledge of identifying metal alloys is helpful, but not required
