Job Description

DELSAN-AIM is currently looking for motivated individual(s) in order to fill a full-time position as an administrative assistant capable of working in a fast-paced Construction Environment. The successful candidate will report to the office and district manager.

Responsibilities

  • Develops and maintains a well-organized filing system that permits easy reference and rapid retrieval of information.
  • Update and maintain a list of jobs being tendered. 
  • Monitor various sources for upcoming demolition tenders and bring them to the district manager for review. 
  • Printing tender documents and drawings. 
  • Upload information of tenders in the common drive.
  • Assists with organizing meetings and/or special events, including arranging for catering, locations, and distribution of information
  • Preparing pre-qualifications for upcoming work. 
  • Fill out tender forms with information provided by the various estimators. 
  • File and maintain completed tenders. 
  • Co-ordinate bonding and insurance requirements with the appropriate people. 
  • Work closely with the estimating team and other office staff to assist with administrative functions that may be required. 
  • Work and assist our Health and Safety Department with data entry and clerical work as required.
  • Other duties as required

 

Qualifications

  • Postsecondary degree /diploma or certificate in office administration program preferred.
  • Minimum 2 year of experience in an administrative role, preferably in a construction environment
  • Good analysis of priorities and autonomous (resourceful)
  • Good communication skills
  • Rigorous and detail oriented
  • Excellent verbal and written communication skills.
  • Professional and service-oriented approach internally and externally.
  • Ability to multitask.
  • Ability to act with discretion when handling confidential and privileged information.
  • Able to anticipate and adapt to various work styles.
  • Ability to develop and maintain effective stakeholder relationships.
  • Ability to create, edit, proofread, and format documents/presentations as required.
  • Advanced skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote. 
  • Bilingual (French and English) an asset
  • Experience in the construction industry (an asset).
